Short answer: First find out what was actually objected to. A visa office rarely refuses a visa because of the hotel alone; Schengen refusals cite grounds such as no justification for the purpose and conditions of the stay, or reasonable doubts about the authenticity of documents. If the issue was the reservation, it is usually a mismatch: wrong name, dates outside the trip, an unverifiable property or a booking that no longer exists. Fix the record, align it with your flight reservation for visa, form and funds, then either answer the request, appeal where the law allows, or reapply with a corrected file.
"Your hotel booking was not accepted" can mean very different things. Sometimes a visa centre refuses to take a file because a required document is missing. Sometimes an embassy asks for a corrected booking before deciding. Sometimes a refusal letter ticks a box that applicants read as a hotel problem when it is really about funds or purpose. Each needs a different response.
This guide shows how to identify which situation you are in, the usual reasons a hotel reservation is questioned, how to fix each one, and when to answer, appeal or reapply. It focuses on Schengen visas, where the refusal grounds are set by law, with notes for UK and other applications.
Key facts
- Schengen refusals use a standard form listing grounds from Article 32 of the EU Visa Code.
- Two grounds that touch accommodation are no justification for the purpose and conditions of the intended stay, and reasonable doubts about the authenticity of supporting documents or the reliability of statements.
- Article 32 gives refused Schengen applicants the right to appeal against the Member State that decided, under its national law.
- GOV.UK lists hotel bookings among documents that are less useful for a UK visit visa, so a UK refusal is rarely about the booking itself.
- Most hotel-related problems are mismatches in names, dates, guests or addresses, and they are fixable.
- Article 32(2) of the EU Visa Code requires the refusal and its reasons to be notified on a standard form, and Article 32(5) says refusal information is entered into the VIS.
- Article 23 says Schengen applications are decided within 15 calendar days, extendable to a maximum of 45 days in individual cases.

Was the Hotel Reservation Really the Reason?
Start with the paper you received. There are three different situations, and applicants often confuse them.
|
What you received |
What it means |
What to do |
|---|---|---|
|
Visa centre will not accept the file |
A listed document is missing or in the wrong format |
Supply the document the centre names; no decision has been made |
|
Request for additional documents |
The consulate wants clarification before deciding |
Answer within the deadline with a corrected or additional record |
|
Refusal decision |
A decision has been made on listed grounds |
Read the grounds; decide whether to appeal or reapply |
In a Schengen refusal, the standard form ticks one or more grounds from Article 32 of the Visa Code. None of them says "hotel booking". The ones that can involve accommodation are: no justification for the purpose and conditions of the intended stay; no proof of sufficient means of subsistence; and reasonable doubts about the authenticity of supporting documents, the veracity of their contents or the reliability of your statements.
Read it literally: If your refusal cites only insufficient means or doubts about your intention to leave, a new hotel reservation will not fix it. The accommodation record matters only where the grounds point to purpose, conditions of stay or document reliability.
Why Do Visa Offices Question Hotel Reservations?
-
The guest name does not match the passport, or one traveller is missing.
-
The dates fall outside the travel dates on the form, the flights or the insurance.
-
The hotel cannot confirm the booking when contacted, or the booking no longer exists when the decision is made.
-
The property address is incomplete or does not match the city in your plan.
-
The cost of the stay is out of proportion to your funds.
-
Several conflicting bookings were submitted for the same nights.
-
The document looks edited or does not come from a real provider.
Most of these are fixable. The last one is not, and it is serious. Submitting an altered or invented booking can lead to a refusal on authenticity grounds and records in visa systems. Our guide on whether a fake hotel booking can cause a visa ban explains the risks.

A BookForVisa hotel reservation for visa costs $15 per person, shows the property, address, dates and guests you specify and allows free date changes within the same day of booking. If you also need to realign flights, our flight reservations carry a PNR that is valid for 48-72 hours, so time the issue close to the date you submit.
Should You Answer, Appeal or Reapply?
Answering a request for documents
If the consulate has asked for more information, no decision has been made. Reply within the deadline with the corrected record and a two-line note explaining what changed. Do not add unrelated documents.
Appealing a Schengen refusal
Article 32 says refused applicants have the right to appeal, against the Member State that took the decision and under its national law. The refusal form must tell you how. Appeals suit cases where you believe the decision was wrong on the evidence you submitted, for example when the consulate misread your dates. They are slower and less suited to cases where your file had real gaps.
Reapplying with a corrected file
If the refusal reflects real gaps, such as mismatched dates or weak funds evidence, a new application with a corrected file is usually faster. Address each refusal ground directly in a covering letter. Do not simply resubmit the same documents.
UK note: UK visit visa refusals explain the reasons in the refusal letter. GOV.UK lists hotel bookings as less useful evidence, so a UK refusal is rarely about accommodation alone. Address the stated reasons, usually funds, ties or purpose, before reapplying.
What Does a Corrected File Look Like?
Here is a fictional example. Rahul applied for a Schengen tourist visa to Spain. His hotel reservation in Madrid started on 3 June, but his flight landed on 2 June, and his insurance began on 1 June. The consulate refused, citing no justification for the purpose and conditions of the intended stay.
His corrected file uses one master plan: arrive 2 June, Madrid 2 to 6 June, Seville 6 to 9 June, depart 9 June. The hotel reservations cover exactly those nights. The flight reservation and insurance match. His covering letter states the plan in three lines and notes that the previous mismatch has been corrected. The rest of the file, including his salary statements and leave letter, is unchanged because it was not the problem.
How Do You Avoid the Problem Next Time?
-
Draft one master plan before issuing any reservation.
-
Issue accommodation and flight records from the master plan, not from memory.
-
Check names and guest counts against every passport.
-
Make sure the booking will still exist and be confirmable during the decision period.
-
Keep the accommodation cost proportionate to your funds.
-
Submit one record per stay and nothing contradictory.

Which Article 32 Ground Points Where?
Article 32(1) of the Visa Code lists every ground on which a Schengen visa shall be refused. Reading the ticked box against the full list tells you quickly whether accommodation could be part of the problem, or whether you should be looking at something else entirely.
|
Article 32(1) ground |
Can accommodation be involved? |
What to look at |
|---|---|---|
|
(a)(i) False, counterfeit or forged travel document |
No |
The passport itself |
|
(a)(ii) No justification for the purpose and conditions of the intended stay |
Yes |
Itinerary, accommodation, invitation and how they fit together |
|
(a)(iii) No proof of sufficient means of subsistence for the stay and return |
Indirectly |
Whether funds cover the nights you pay for |
|
(a)(iv) Already stayed 90 days in the current 180-day period |
No |
Your previous Schengen stays |
|
(a)(v) SIS alert for refusing entry |
No |
Seek advice on the alert |
|
(a)(vi) Threat to public policy, internal security, public health or international relations |
No |
Seek advice |
|
(a)(vii) No adequate and valid travel medical insurance |
No |
The insurance policy and its dates |
|
(b) Reasonable doubts about authenticity or veracity of documents, reliability of statements or intention to leave |
Yes |
Whether each booking is real, current and consistent |
Two of the eight grounds can directly involve accommodation, and one more can involve it indirectly. If your form ticks only (a)(iv) or (a)(vii), a new hotel record will not change anything; fix the stay count or the insurance instead.
What Must the Refusal Form Tell You?
Article 32(2) says a refusal decision and the reasons for it shall be notified by means of the standard form in Annex VI, in the language of the member state that took the final decision and in another official language of the EU institutions. Article 32(3) adds that member states shall provide applicants with information on the procedure to follow in the event of an appeal, as specified in Annex VI.
-
The ticked ground or grounds from Article 32.
-
The member state that took the decision, which is the one you appeal against.
-
Information on how to appeal under that member state’s national law, including where and by when.
-
Any additional explanation the consulate chose to add.
Article 32(5) says information on a refused visa is entered into the Visa Information System. Consulates can see previous refusals when you apply again, which is one more reason to fix the cause of the refusal rather than resubmit the same documents.
How Do You Plan the Timeline for a Reapplication?
If you decide to reapply, the Visa Code’s timing rules still apply. Article 9 says applications are lodged no more than six months before the start of the intended visit and, as a rule, no later than 15 calendar days before it, and that an appointment, where required, shall as a rule take place within two weeks of the date it was requested. Article 23 says decisions are taken within 15 calendar days, extendable up to 45 days in individual cases.
|
Step |
Typical time in the Visa Code |
Accommodation action |
|---|---|---|
|
Request an appointment |
As a rule within two weeks |
Draft the corrected master plan |
|
Lodge the application |
No later than 15 days before travel, as a rule |
Issue accommodation records close to this date |
|
Decision |
15 calendar days, up to 45 in individual cases |
Keep records current; answer any request quickly |
|
Travel |
After the visa is issued |
Book the stay you will actually use |
If your original travel dates no longer work, move the whole plan rather than squeezing it. A reapplication with dates that are too tight can create the same doubts as the first one.
What Should a Reapplication Cover Letter Say About Accommodation?
A good reapplication letter is short and specific. It names the previous refusal, quotes the ground, and explains what has changed. It does not argue with the consulate.
Example wording: “My application of 4 March was refused under Article 32(1)(a)(ii). My hotel reservation did not cover the first night of my stay. I have corrected my plan: I arrive in Madrid on 2 June and stay at [hotel, address] from 2 to 6 June, then [hotel, address] in Seville from 6 to 9 June, departing on 9 June. The attached reservations, flight plan and insurance all reflect these dates.”
-
Identify the previous application by date and, if available, its reference.
-
Quote the refusal ground exactly as ticked.
-
State the corrected plan in date order.
-
List the documents that now support it.
-
Add anything new that addresses other grounds, such as stronger funds evidence.
How Do the UK and Canada Look at Accommodation After a Refusal?
UK and Canadian refusals are not decided under the Visa Code, and accommodation plays a smaller part in both. GOV.UK’s visitor requirements centre on showing you will leave at the end of your visit, can support yourself, can pay for the return or onward journey and will not live in the UK through frequent or successive visits. IRCC’s eligibility page asks you to convince an officer of your ties and that you will leave, and to have enough money for your stay, noting that the amount depends on whether you stay in a hotel or with friends or relatives.
|
Country |
What usually drives a refusal |
Where accommodation fits in a new application |
|---|---|---|
|
United Kingdom |
Ties, funds and purpose, as set out in the visitor requirements |
An accurate address and cost line; hotel bookings are listed as less useful evidence |
|
Canada |
Ties, purpose and funds |
Accommodation affects how much money you need; align bookings or host letter with your statements |
|
Schengen |
Article 32 grounds on the refusal form |
Directly relevant under (a)(ii) and (b) |
Read the reasons in the refusal letter and respond to them. If the letter mentions funds, a cheaper accommodation plan or a host letter that covers lodging can change the cost the officer weighs against your statements.
What Does a Second Corrected File Look Like?
A second fictional example: Aisha applied for a Czech tourist visa and planned to stay with a friend in Prague. She attached a short message from her friend saying she was welcome, with no address, dates or identity document. The refusal ticked Article 32(1)(a)(ii).
The Czech Ministry of Foreign Affairs lists, as accommodation evidence, a private invitation with the name and address of the inviting person and the visit dates, or an official invitation certified by the Foreign Police Service. Aisha’s corrected file includes a proper invitation letter with her friend’s full name, address and the visit dates, a copy of the friend’s residence document, and a hotel reservation for two nights in Brno that were not covered by the invitation. Every night is now accounted for, and each document says the same thing.
What Should You Check Before You Reapply?
|
Check |
Done when |
|---|---|
|
Refusal ground identified |
You can quote the ticked box and explain what it points to |
|
Master plan rebuilt |
One table of dates, cities and addresses agrees with every document |
|
Accommodation records reissued |
Names, dates, guest count and full addresses are correct |
|
Funds checked against paid nights |
Statements cover the cost of the stays you list |
|
Insurance re-dated |
Covers the entire new stay, if the dates moved |
|
Cover letter written |
Short, factual, and addresses each ground |
Once each line is done, lodge the new application. Do not reuse documents from the refused file without checking that they still match the corrected plan.
Which Accommodation Records Hold Up Best on Reapplication?
After a refusal that involved accommodation, choose the record that is easiest for the consulate to understand and confirm. The Visa Code’s Article 14(1)(b) asks for documents in relation to accommodation, or proof of sufficient means to cover accommodation, and each consulate publishes the forms it accepts.
|
Record |
Strength on reapplication |
Watch for |
|---|---|---|
|
Hotel booking or reservation in your name |
Clear, standard and easy to read |
Must cover every night and still exist during the decision period |
|
Hotel voucher from a tour operator |
Shows a paid or confirmed arrangement |
Operator’s details and your name must be on it |
|
Private invitation with host’s name, address and dates |
Strong if complete |
Missing dates or address undermine it |
|
Official invitation certified by the authorities (e.g. Czech Foreign Police Service) |
Strongest form of host evidence where it exists |
Takes time to obtain |
|
Short-let rental confirmation |
Acceptable if complete |
Hidden addresses, lead-guest-only bookings |
|
Proof of means to cover accommodation |
Allowed by Article 14(1)(b) as an alternative |
Still needs a believable plan of where you will stay |
If your refusal was about doubts, pick the record that removes doubt fastest. A complete hotel reservation that matches every other date in the file usually does that better than a mix of partial documents.
What If the Consulate Says It Could Not Confirm Your Booking?
Some refusals or requests say, in their own words, that a booking could not be confirmed. That can happen when a reservation lapsed, when the guest name differed from the passport, or when the property’s contact details on the document were wrong. Treat it as a document problem and solve it with a document.
-
Check whether the reservation still exists and under which name.
-
If it lapsed, issue a new record for the same plan with a new reference.
-
Make sure the property name, address and contact details are complete and correct.
-
Explain the change in two lines: what the old record was, what replaced it and why.
-
Keep everything else in the file the same, unless it also needs correcting.
Do not respond with a different hotel in a different city unless your plan really changed. A sudden change of plan after a doubt was raised can add a second doubt.
What Should You Avoid After a Refusal?
-
Resubmitting the same documents with a new date on the form.
-
Adding more bookings for the same nights in the hope that one is accepted.
-
Editing an old reservation by hand instead of issuing a new one.
-
Changing your main destination or purpose to get a different outcome.
-
Ignoring grounds that have nothing to do with accommodation, such as funds or insurance.
-
Leaving the cover letter out, so the officer has to work out what changed.
Each of these makes the file harder to read or less credible. A refused file plus a clear correction is a normal situation for consulates; a refused file plus confusion is not.
How Do You Handle a Refusal for a Family or Group?
When several people apply together and only some are refused, or all are refused on the same ground, check whether a shared accommodation record caused it. Family and group files often rely on one booking in the lead applicant’s name, which can leave other applicants with no accommodation document that names them.
-
List every refused applicant and the ground ticked on each form.
-
Check that each person’s file contains an accommodation record that names them or clearly links them to the lead booking.
-
Make the guest count on every record equal to the number of people relying on it.
-
Add the documents that show family relationships, if the consulate asks for them.
-
Reapply together with consistent cover letters that cross-reference each other.
If a refused member had a different ground, such as insufficient means, fix that separately. A shared hotel record does not need to change if it was correct.

Fix the Record That Caused the Doubt
A questioned or rejected hotel reservation is usually a symptom of a file that does not line up. Read the exact refusal ground, fix only what it points to, and present one consistent plan across the form, flights, insurance and accommodation. Use an appeal where the decision misread good evidence, and reapply where the evidence itself needed work.
Rebuild the accommodation record from one master plan, with the right names, dates and address, before you answer the consulate or reapply.
Review hotel-reservation optionsFrequently Asked Questions
Can a visa be refused because of a hotel booking?
Not as a stand-alone ground. Schengen refusals cite Article 32 grounds, such as no justification for the conditions of stay or doubts about document authenticity, which a faulty booking can trigger.
What should I do if the consulate asks for a new hotel booking?
Provide a corrected record within the deadline with a short note explaining the change. No decision has been made yet.
Can I appeal a Schengen refusal?
Yes. Article 32 gives refused applicants the right to appeal against the deciding Member State under its national law. The refusal form explains the procedure.
Is it better to appeal or reapply?
Appeal if the decision misread good evidence. Reapply with a corrected file if the evidence had real gaps, such as mismatched dates.
Do embassies call hotels to check bookings?
Some do, and some check reservations in other ways. Assume a booking can be checked and make sure it is real and matches your plan.
Will a UK refusal be about my hotel?
Rarely. GOV.UK lists hotel bookings as less useful evidence. UK refusal letters usually point to funds, ties or purpose.
Can I use a new hotel reservation after a refusal?
Yes, if it fixes what the refusal pointed to. Issue it from a corrected master plan, explain the change briefly in your cover letter and keep all dates consistent.
Should every family member be named on the hotel record?
Ideally yes. If only the lead guest is named, link each applicant to the booking in their cover letter and keep the guest count equal to the number of travellers.
Will a previous Schengen refusal be visible when I reapply?
Yes. Article 32(5) of the Visa Code says information on a refused visa is entered into the Visa Information System.
How long does a Schengen decision take after I reapply?
Article 23 says 15 calendar days from an admissible application, extendable up to 45 days in individual cases.
Which Article 32 grounds can involve accommodation?
Mainly (a)(ii), no justification for the purpose and conditions of stay, and (b), doubts about the authenticity or veracity of documents. Funds under (a)(iii) can be linked indirectly.
Friendly reminder: BookForVisa provides travel-proof documents for planning and visa-application support. Requirements vary by destination, consulate, visa category and applicant situation. A flight reservation can support a file, but it does not guarantee approval, boarding or entry.
