Short answer: The MVV sticker appointment in India is a passport hand-in, not an interview: bring the passport, a Dutch-standard photo, the IND letter or V-number email and every listed document. No flight itinerary for visa files is requested, and the passport can take up to 10 working days to return.
Once the IND has approved a residence permit and the decision letter says the sticker can be issued in India, one short visit to a Dutch mission stands between you and the MVV. Most stress on that day comes from three avoidable problems: the wrong location, a missing photocopy, and no plan for getting the passport back.
This guide is written for that visit. It covers how to pick and book the location, the exact items NetherlandsWorldwide lists for India, what happens at the desk, the courier and collection options, how to read the sticker before you walk out, and what to tell your sponsor if the slot is late. A fictional Bengaluru applicant, Meera, shows each step with dates.
If your main question is when to fix the flight once the sticker is issued, our separate guide to MVV sticker collection vs flight date works through that calendar. Here the focus stays on the appointment itself.
Key facts for the India appointment
- Locations: the embassy in New Delhi or the consulates-general in Bangalore and Mumbai; you may use any of the three without permission.
- Deadline: apply for the sticker within 3 months of the IND positive-decision letter.
- Passport: valid at least 6 months from the appointment date, with at least 2 empty pages; it stays with the mission for up to 10 working days.
- Return: DTDC courier (arranged before the appointment) or collection with the mission's permission.
- Sticker: valid 90 days from the "Issued on" date.
- If you want a dated travel plan for a sponsor or relocation team meanwhile: BookForVisa flight and hotel reservations are a flat $15 per person, with a real PNR on flights, valid 48-72 hours and free date changes on the booking day only.
Your relocation team wants travel dates before the sticker is back? Give them a verifiable reservation instead of a paid fare. It can be issued even while you are sitting at the mission.

Official-source check: Locations, documents, the 3-month window, the 10-working-day handling time and the DTDC steps come from NetherlandsWorldwide's MVV visa sticker page for India. The 90-day rule comes from its MVV validity page, and decision periods from the IND decision periods page. Fees and payment methods are set by the mission, so confirm them on its own page.

What Is the MVV Sticker Appointment For?

The appointment turns an IND approval into something you can travel on. The IND has already decided the residence application; the mission's job is to place the MVV, a long-stay entry visa, in your passport so you can enter the Netherlands and collect the residence permit card there.
That division of labour matters on the day. The mission does not re-examine whether you qualify. It checks identity, takes the documents the IND letter names and keeps your passport while the sticker is produced. Questions about the decision itself belong to the IND, and questions about slots, passports and stickers belong to the mission.
Most applicants reach this point through the combined entry and residence procedure, often called TEV. A recognised sponsor, such as an employer, university or research institution, files it from the Netherlands. In family cases the partner or parent living in the Netherlands usually acts as sponsor. Either way, the applicant abroad only appears in person at this stage.
Think of the visit as a hand-over with paperwork. You arrive with a passport and a folder, you leave with a receipt, a tracking number and a decision about how the passport comes back. Everything below is about making those three outputs correct the first time.
Which Three Documents Frame the Day?
The IND positive-decision letter gives you the V number, the approved purpose and the location where the sticker may be requested. The appointment confirmation email fixes the day your passport leaves your hands. The sticker itself, once printed, carries the "Issued on" date that starts its 90 days. Keep all three together in one folder; nearly every question on the day refers to one of them.
A short-stay Schengen visit is a different procedure with its own file, covered in our guide to Netherlands business visa documents and reservation timing. Do not mix the two checklists.
Which Dutch Mission in India Can You Use, and How Do You Book It?
You can use the embassy in New Delhi or the consulate-general in Bangalore or Mumbai. The IND letter names one of them, but NetherlandsWorldwide states that you may apply at a different location in India without permission from the IND, the embassy or the consulate-general.
That flexibility is useful. An applicant in Bengaluru whose letter names New Delhi can book Bangalore and save a flight or an overnight train. An applicant whose nearest office has no free slot can try the other two. Each location has its own online appointment link on the NetherlandsWorldwide India page; use that page as the starting point rather than a link forwarded in a group chat.
How Soon Should You Book?
Book on the day the letter arrives. You have 3 months from the positive-decision letter to apply for the sticker, and the mission warns that appointments fill up quickly because of the number of applicants. If nothing is free, it advises trying again later, because slots open up when other applicants change their bookings.
A practical routine is to check all three locations each morning for a week, then widen to every other day. Note each check in your folder. If the 3-month window is getting close and nothing appears, contact NetherlandsWorldwide through its contact page and tell your sponsor, who can raise the question with the IND.
What If the Confirmation Email Does Not Arrive?
The mission sends a confirmation email once the appointment is scheduled. If you cannot find it, check the spam folder first. If it is not there, contact NetherlandsWorldwide rather than booking a second slot. Print the confirmation and save it on your phone; you may be asked for it at the entrance.
What If You Live Outside India or Have No Dutch Mission Nearby?
The India page applies to applicants whose IND letter allows the sticker to be issued in India. If you are not an Indian national but live in India, the same page asks for your residence permit or a comparable document and a photocopy. Rules in other countries differ, sometimes sharply: some countries have one issuing location only and do not allow a switch. Always read the NetherlandsWorldwide page for the country named in your letter.
What Should You Bring to the MVV Appointment in India?

Bring what the India page lists for your case and nothing that depends on guesswork. The list depends on who applied for the residence permit: the sponsor in the Netherlands, or you yourself at the mission.
If Your Sponsor Applied
- Your passport plus a photocopy of the photo page. It must be valid for at least 6 months from the appointment date and have at least 2 empty pages.
- If you are not a national of the country where you live: your residence permit or a comparable document, plus a photocopy.
- A passport photo that meets Dutch requirements. NetherlandsWorldwide has a separate page on getting a Dutch passport photo taken in India.
- A photocopy of the IND positive-decision letter that shows your V number. Students do not need the letter copy; the email from the educational institution showing the V number is enough.
- Every other document listed in the IND letter, each with a photocopy.
If You Applied Yourself at the Mission
Only your passport is needed. It must still be valid for at least another 6 months and have at least 2 empty pages.
Which Items Cause the Most Delays?
The photo and the photocopies. A photo that does not meet the Dutch standard, or an original without its copy, is the most common reason to be sent away to fix something. Prepare one plastic sleeve per item: original in front, copy behind. If the IND letter names civil records, such as a birth or marriage certificate, make sure they are already legalised and translated as required; our guide to apostilled civil records for an MVV file explains that order.
Passport validity is the other trap. The 6 months are counted from the appointment date, so a passport that expires five months after your slot fails even if it looked fine when the sponsor filed. Renew first, then tell your sponsor and ask whether the IND needs the new passport details.
What Is Not on the List?
A flight booking. The India page does not ask for travel proof of any kind, and neither does the IND at this stage. Bring travel paperwork only if your own sponsor or relocation team asks for it for internal planning. Some agencies call any such placeholder a dummy ticket; what a planning team can actually check is a reservation with a real PNR whose dates match the plan.
What Happens at the Desk, and How Long Does It Take?
The visit is usually brief: you hand over the documents and the passport, confirm how the passport will come back and leave with a receipt and a tracking number. The mission does not print the sticker while you wait.
The staff check the passport, the photo and the documents against the IND letter. If something is missing, they will tell you what to supply. Ask before you leave whether your mission records fingerprints or other biometric data at this visit, and note the answer for later; some routes ask for biometrics after arrival instead.
Fees and Payment
Fees depend on the application type and on who applied, and they change. Do not rely on an amount from a forum or an older guide. Read the IND letter and the mission's current instructions, and ask at booking how payment is taken. Cash is not always accepted. If you pay by bank transfer, use an account in your own name and keep the proof in your folder.
The Receipt and the Tracking Number
Treat the receipt like the passport. It is what you, or the person collecting for you, must show to get the passport back. The tracking number lets you follow the status online, so photograph both before you leave the building.
A One-Minute Desk Checklist
- Passport and photocopy handed in.
- Photo accepted.
- All documents from the IND letter handed in with copies.
- Return method chosen: courier or collection.
- Receipt and tracking number in hand and photographed.
- Name and spelling on the receipt checked against the passport.
How Do You Get the Passport Back: Courier or Collection?
You choose at the appointment, but the courier route has to be arranged before you arrive. Allow up to 10 working days for the sticker to be ready either way.
Courier Delivery Through DTDC
Before the appointment, call the DTDC courier service on the number shown on the India page (Monday to Saturday, 10:00-17:00) and ask whether it serves your address. If it does, DTDC asks for a payment of 850 Indian rupees for an Airway Bill (AWB) number, which arrives by text message once you have paid. Write it down; you need it at the desk.
Each envelope needs its own AWB number and can carry one applicant only, so a family buys one per person. Print and complete the mission's disclaimer form, bring it, and ask for a DTDC envelope at the desk. Write your address, mobile number, passport number and AWB number on the envelope in block letters.
Collecting in Person
Collection needs permission from the mission, which tells you what to arrange at the appointment. No appointment is needed to collect. Bring the receipt and a valid identity document. Check the address, opening hours and closing days of your location first; public holidays in India and the Netherlands can both affect them.
Sending Someone Else to Collect
A family member or friend can collect if they bring the receipt, their own valid identity document and an authorisation letter signed by you that states their full name. If a legal representative acts for you, ask the mission in advance what that person must carry.
Which Option Suits Which Applicant?
| Situation | Better option | Why |
|---|---|---|
| You live in the same city as the mission | Collection | You can check the sticker at the desk the same day it is ready. |
| You travelled to another city for the slot | DTDC courier | Saves a second trip; arrange the AWB before the appointment. |
| A family applying together | Courier or one collector with letters | Courier needs one AWB per person; a collector needs an authorisation letter from each applicant. |
| A tight start date | Collection | Removes courier transit days from the wait. |
What Should You Check on the Sticker Before You Leave the Desk?
Check the name and the period of validity at once. NetherlandsWorldwide asks you to verify the sticker as soon as you get it and to tell an employee at the desk immediately if anything is wrong, or contact the mission that issued it.
| Sticker field | What it should show | Why it matters |
|---|---|---|
| Surname and given names | Exactly as in the passport | A spelling error is quickest to fix before you leave. |
| Passport number | The passport you will travel on | The sticker belongs to that passport only. |
| Type | D | Type D with only the Netherlands under "Valid for" marks an MVV. |
| Valid for | The Netherlands | The MVV still allows travel via other Schengen countries. |
| Issued on | The issue date | Starts the 90 days to travel and collect the permit. |
| From / Until | A window that matches your plans | Entry must fall inside it. |
The 90 days count from the "Issued on" date, not from the day you collect. A sticker issued on a Thursday and collected the following Monday has already used four days. Within the 90 days you must travel to the Netherlands and collect the residence permit at an IND office, and the sticker must still be valid on the day you collect it.
The sticker is also valid for other Schengen countries, so you may route through another Schengen state and enter and leave the Schengen area more than once, but you may not stay more than 90 days in a Schengen country other than the Netherlands. It is not valid for the Caribbean parts of the Kingdom.
If the passport with the sticker is lost or stolen, contact the IND immediately.
How Does One Bengaluru Applicant Plan Around the Appointment?
Meera is a fictional software engineer in Bengaluru. Her Dutch employer, a recognised sponsor, filed a highly skilled migrant application, and her contract starts on Monday 3 May 2027. The dates below are invented to show the order of events, not typical processing times.
Before her calendar begins, the IND decides the file. Fast cases can take a couple of weeks, but the legal decision period is longer, and the IND publishes it per application type on its decision periods page. Meera plans nothing until the letter exists.
| Date | Step | Note |
|---|---|---|
| Mon 1 Feb 2027 | IND positive-decision letter, naming Mumbai | 3-month window runs to 1 May 2027 |
| Mon 1 Feb 2027 | Checks all three locations; books Bangalore | A different location in India needs no permission |
| Thu 25 Feb 2027 | Calls DTDC, pays for the AWB, prints the disclaimer form | Courier chosen so she can keep working |
| Tue 2 Mar 2027 | Appointment: passport, photo, letter copy, documents | Up to 10 working days puts the latest ready date near Tue 16 Mar |
| Wed 10 Mar 2027 | Sticker issued; passport dispatched | 90 days from 10 Mar |
| Fri 12 Mar 2027 | Envelope arrives; she checks every sticker field | Travel dates are now fixed with the employer |
| Mid-April 2027 | Arrival, municipal registration, IND permit appointment | All inside the sticker's 90 days |
Three decisions made this calendar work. She booked on the day the letter arrived. She chose the nearest location instead of the one printed in the letter. And she arranged the courier before the appointment rather than discovering the AWB step at the desk.
What If Her Slot Had Been Late?
Suppose the first free slot had been Monday 26 April. Ten working days later is around Monday 10 May, after her start date. The 3-month window would still hold, but the start date would not. The fix is to tell the employer the day the slot is booked and agree a new start date, because the sticker cannot be produced before the passport is handed in.
What If She Had Fixed Travel Too Early?
Had she bought a paid fare for a date one week after the appointment, the passport could still have been at the mission. Moving a paid fare costs money; moving a planning reservation does not need to. If the relocation team insists on dates in its system before the sticker is back, a short-validity reservation with a real PNR can hold the plan until the passport returns.
Who Answers Which Question Before and After the Appointment?
The mission answers sticker, passport and appointment questions; the IND answers questions about the decision and the residence permit. Your sponsor is usually the fastest route to the IND.
- No slots and the 3-month window is closing: contact NetherlandsWorldwide and tell your sponsor.
- No confirmation email: check spam, then contact NetherlandsWorldwide.
- Passport under 6 months from the appointment date or fewer than 2 empty pages: renew first, then ask the sponsor whether the IND needs the new details.
- Passport not back after 10 working days: use the tracking number, then contact the mission.
- Wrong name or validity on the sticker: tell the desk at once or contact the issuing mission.
- Sticker lost or stolen with the passport: contact the IND immediately.
- Route via the Caribbean parts of the Kingdom: the MVV is not valid there, so plan another route.
- Decision still pending: the mission cannot see the IND file; ask the sponsor or the IND.
Keep this list in the same folder as the letter and the receipt, and write the date and the person you spoke to beside each contact.
Where Do These Appointment Rules Come From?
The rules above were checked against official pages in October 2026:
- NetherlandsWorldwide: Applying for an MVV visa sticker for the Netherlands in India.
- NetherlandsWorldwide: How long is my MVV visa sticker for the Netherlands valid?
- NetherlandsWorldwide: What information is shown on a visa for the Netherlands?
- IND: Decision periods.
Fees, appointment availability and handling times change by mission and by case. Read your own IND letter and the current mission page before each step.
What Should You Do the Evening Before the Appointment?
Lay out the folder in the order the desk will ask for it: passport and photo-page copy, photo, IND letter copy or V-number email, then each listed document with its copy. Add the appointment confirmation, the DTDC AWB number and the signed disclaimer form if you chose the courier, and an ID for the trip. Check the mission's address and opening hours once more, then let your sponsor know the appointment is happening, so they can plan the next step as soon as the sticker is issued.
Sticker appointment booked and dates still moving? Hold a dated plan with a real PNR, valid 48-72 hours, for a flat $15 per person, and fix the paid fare once the passport is back.
Create your $15 flight reservationFrequently Asked Questions
Do I need a flight booking for the MVV sticker appointment in India?
No. The NetherlandsWorldwide India page lists the passport, a photocopy, a Dutch-standard photo, the IND letter copy or V-number email and the documents the letter names. Travel proof is not on the list. Fix paid travel after the passport returns with the sticker and you have read its dates.
Can I book a different Dutch mission than the one in my IND letter?
Yes, within India. NetherlandsWorldwide says you may apply at the embassy in New Delhi or the consulates-general in Bangalore or Mumbai even if the letter names another of them, and you do not need permission from the IND or the mission to switch.
How long does the mission keep my passport?
Up to 10 working days, according to the India page. Add courier transit time if you chose DTDC delivery, and check the mission's closing days. Use the tracking number you receive at the appointment to follow the status before you contact the mission.
Can someone else collect my passport with the MVV sticker?
Yes. The collector brings the receipt from your appointment, their own valid identity document and an authorisation letter signed by you that states their full name. Collection also needs the mission's permission, which is explained at your appointment. No appointment is needed to collect.
When does the 90-day MVV period start?
On the date printed under "Issued on", not on the day you collect or receive the passport. Within those 90 days you must travel to the Netherlands and collect your residence permit at an IND office, and the sticker must still be valid that day.
What if my passport expires soon after the appointment?
It must be valid for at least 6 months from the appointment date and have at least 2 empty pages. If it falls short, renew it before the appointment and ask your sponsor whether the IND needs the new passport details before the sticker can be placed.
Friendly reminder: BookForVisa prepares flight and hotel reservations to support visa applications and onward-travel proof. Requirements vary by destination, consulate, visa category and applicant situation. A reservation supports your file; it is not a paid ticket for travel and does not guarantee visa approval or entry.
