Italy Hospitality Declaration for a Visa From India

Italy Hospitality Declaration for a Visa From India

Short answer: An Italy hospitality declaration works only when the host's form, invitation letter, property papers and travel dates describe one stay. For New Delhi, the host signs an invitation matching their ID, attaches a passport or permit copy, and files a police notice within 48 hours. Match dates with a hotel reservation for visa for any unhosted nights.

An Italy hospitality declaration works as host evidence only when the host's form, invitation letter, property papers, and your travel dates describe one stay. For an Indian applicant staying with a relative or friend, that means one consistent file for the Embassy of Italy in New Delhi.

Names, address, dates, and the host's residence status must agree line by line, and missions word their lists differently, so confirm your handling office's current checklist first. This guide shows how to use host evidence in a visa plan, through one fictional Delhi-to-Turin case.

If part of the trip is not hosted, a hotel or flight reservation covers those nights and dates. For staying with a host in other countries, see our general guide to a flight itinerary for visa when staying with a host; this one is about Italy's two host papers.

Key facts for an Italy host file from India

  • New Delhi family and friends checklist: proof of the relationship and of accommodation, plus an invitation letter signed by the host, with a signature that matches the host's ID.
  • Host ID: EU host, ID or passport copy with signature page; non-EU host, passport copy with signature page plus the Italian residence permit.
  • Insurance: at least EUR 30,000 for urgent hospital treatment or repatriation.
  • A host who covers your finances gives an original bank guarantee (fidejussione).
  • After arrival: the host reports your stay to the local police authority in writing within 48 hours.
  • For hotel nights or flights: BookForVisa reservations are a flat $15 per person, valid 48-72 hours, with a real PNR on flights.

Host covers only part of the trip? Fill the remaining nights and the travel dates with reservations that match the host form, without paying for a hotel or fare before the visa.

Official-source check: The India host items come from the Embassy of Italy in New Delhi visiting family and friends checklist, published through VFS Global, and its visa documents page. The host form fields come from the Consulate of Italy in Adelaide proof of sponsorship and private accommodation form. The 48-hour police notice comes from the Polizia di Stato hospitality page and the Questura instructions. Police pages may block automated readers, but they open normally in a browser.

Which Document Does a Consulate Mean by Hospitality Declaration?

Two different papers share this name, and mixing them up is the first mistake in most host files.

The first is the host's signed statement that goes into your visa file. Italian consulates publish it under their own titles, such as a bilingual proof of sponsorship and private accommodation, or a declaration of hospitality addressed to the Visa Office. Hosts who search online for a hospitality form often download a template written for a different mission.

The EU Visa Code allows each Member State to ask for proof of sponsorship, private accommodation, or both, on a form it designs itself. That form records the host, the invited person, the address, and the length and purpose of the stay.

The second is a notice the host files with the local police after you arrive. That is the dichiarazione di ospitalità in its strictest sense, and a later part of this guide covers it. At the visa stage, only the first paper goes into your file.

The visa-stage paper is the host's signed statement that you will stay with them. The police notice after arrival is the one that Italian immigration law makes compulsory, under Article 7 of the Consolidated Immigration Act.

It is distinct from the invitation letter required for a visa application. Some missions ask for both papers, while others fold the host's details into one form. Your handling office's checklist decides which combination goes into your file.

Wording differs by mission. The New Delhi list for visiting family and friends asks the host for proof of the family tie, proof of accommodation, and an invitation letter signed by the host.

Other Italian missions accept either a fully booked hotel or an original host letter, and some publish their own host template. Do not download a template from another mission if your office names its own.

Consulates verify host evidence to confirm that the applicant has a secure place to stay. Host evidence is mandatory whenever your plan relies on a host. If you book every night in advance, the accommodation bookings take its place, and no host paper is needed.

No set of papers guarantees a visa, and border officers may check them again on entry.

Which Fields Must Agree Across the Host's Papers?

Every host paper repeats the same handful of facts, so the work is checking that each fact reads identically wherever it appears. The table sets the host form against the invitation letter and names the paper each field should be checked against.

Names and personal details come first. The host's name must read the same on the form, the letter, and the host's identity card, including middle names and spelling. A transliterated surname that differs by one letter is enough to prompt questions at the counter.

Dates come second. The start date on the host form, the arrival date on your application, and the first night of any other lodging should be one date, and the end dates should line up the same way.

Proof of accommodation must cover every night of the stay on a visit, so a gap between host nights and hotel nights is a gap in the file.

The address comes third. Invitation letters must specify the accommodation address and the intended duration of stay, and the host form repeats both. Copy the address once from the lease or deed, then paste it into every paper instead of retyping it.

The host's invitation letter must also include the relationship to the applicant and the details of the stay. For a close relative, one line naming the tie works, with a supporting document in the file. Friends state friendship plainly, since inventing a family tie creates a bigger problem than the one it solves.

Authentication of the invitation letter matters because discrepancies between it and the rest of the file lead to visa refusals. In general terms, treat authentication as three checks: the host's signature matches the identity document, the letter agrees with the host form, and the original signature is in ink on a printed page.

Host invitation letters require a copy of the host's ID. The passport number on your side of the form comes from your own passport's data page, never from memory.

Where the host is a company or organization, the form adds a block for the company name, registered office, legal representative, telephone, and email. An individual host leaves that block empty.

The cost boxes need a decision before signing. A host who ticks living costs and health insurance in the guest's name takes on real obligations, and the bank guarantee is optional. Hosts should tick only what they will honour, and your own policy still has to meet the mission's minimum.

What Property and Residence Papers Can Support the Host?

Host handing house keys to a smiling guest on a rooftop terrace in an Italian city

A host is asking the consulate to believe that a real bed exists at a real address, and the property documents are what make that believable.

Documentation may include proof of property ownership or a rental agreement to accommodate guests. An owner attaches the property deed or an equivalent ownership record. A tenant attaches the lease agreement, and the registered copy is the stronger one, because Italian leases are registered with the Italian revenue agency and usually carry the landlord's and tenant's tax code.

A registered rental agreement matters most for long stays. For a student visa from India, the checklists ask for lodging covering at least 30 days through a hotel booking, a rent agreement or university housing with a signed contract, and missions elsewhere also accept a host declaration with the host's ID and property papers.

Universitaly pre-enrolment is a separate document and does not show where you will sleep. For short visits, every night is the test. For study visas, checklists name an initial period or a minimum such as 30 days, so read your own mission's wording.

If the host rents, a short note from the landlord helps whenever the lease limits guests or subletting. That owner's consent does not replace the lease; it sits behind it. Where the housing is a family home that belongs to a parent, the parent's signed line can serve the same purpose.

A hotel booking works as an alternative, and it must show the full name and address, meaning the guest's full name as in the passport and the hotel's full address. Many plans mix hosted nights with hotel nights, and together they form the accommodation proof. They must prove accommodation for the whole stay.

Residence status is the second half of host evidence. The host must provide proof of legal residency if they are a non-EU citizen in Italy. That means a passport copy including the signature page, plus a copy of the valid residence permit, the permesso di soggiorno, with the holder's signature visible.

An Italian citizen or EU national gives an ID or passport copy instead. Either way, the host's registered residence should match the address written on the form.

A foreign citizen hosting you should also compare the permit's expiry with your last night in Italy, and ask the immigration office how a pending renewal is treated if the dates fall close.

To show the family relationship, attach a marriage certificate for a spouse or in-law, and birth certificates for parents and siblings. Italian civil-status certificates can be requested online through the national population register, and Indian documents need an apostille.

Bring only the supporting documents that your checklist names, because acceptable documents are defined by the handling mission, not by what looks thorough.

How Does a Mismatched Host File Get Fixed?

Arjun Mehta lives in Delhi and plans to spend two weeks in Turin with his sister, Kavya, from 10 May to 24 May 2027. Kavya is a non-EU resident of Italy with a current permit, and she rents a flat from a landlord, Mr. Rossi. Arjun's first draft looks complete, but five details disagree.

Paper in the draft fileWhat it saysProblem
Host formStay 10 May to 24 May; Via Garibaldi 14, TurinNone. This becomes the reference
Invitation letterStay 12 May to 26 May; Via Garibaldi 41Dates shifted by two days; house number mistyped
Registered leaseVia Garibaldi 14; ends 15 May 2027Ends nine days before Arjun leaves
Letter signatureInitials onlyPassport shows a full signature, and New Delhi lists ask for a match
Flight reservationDelhi to Milan 10 May; Milan to Delhi 24 MayAgrees with the host form

The fix starts with a reference. The host form is the one to keep, because the lease and Kavya's passport back up its address and names. Kavya asks for a new letter with the 10 to 24 May dates, the address copied from the lease, and her full passport signature.

The lease is the serious problem. Without an extension, the file shows a host whose own right to the flat ends before the guest leaves. Kavya asks Mr. Rossi for a signed addendum running past 24 May, and Arjun asks the mission whether the addendum needs registration before he submits.

Once the papers agree, the administrative timeline can be set backward from arrival.

Date (2027)StepWhat to check
15 MarchKavya gets the lease addendum and landlord noteLease covers 10 to 24 May
20 MarchKavya signs the form and letter in ink, and copies her passport page and permitNames, address, and dates identical on every page

13 AprilAppointment dayFolder in the order of the checklist
25 AprilLatest day to lodge the applicationThe EU Visa Code asks for at least 15 calendar days before travel
10 MayArrival in ItalyKavya's 48-hour police notice is due by 12 May

In the corrected file, the same three facts appear on every page: Via Garibaldi 14, 10 May, and 24 May. Arjun also sets his travel insurance to run from 10 to 24 May, so even the policy dates agree with the host.

If Mr. Rossi will not extend the lease, the plan changes rather than the paperwork. Arjun books a hotel for the uncovered nights, and the host form states the shorter hosted period. Hosted nights and hotel nights then cover every night between them, and each paper says so.

Arjun saves each superseded version in a separate folder, so no old letter travels with the new one.

A last read-through compares the three dates and one address line by line. It takes ten minutes, and it is the step where the two-day shift in the letter would have been caught before the counter.

What Does the Host Still Owe Once You Land?

Arrival starts a second clock, and it runs on the host's side. The declaration is required for hosting non-EU citizens, and the rule sits in Article 7 of Legislative Decree 286 of 1998, known as the Consolidated Immigration Act.

Anyone who houses a non-EU national, even a relative and even for one night, must report it in writing to the local public security authority within 48 hours. Hotels, B&Bs and holiday rentals report their guests only through the state police's Alloggiati Web service, so a private host files only for nights you spend in their home.

A private host uses the form published by the Questura, the police headquarters for the province where the home is, and files it at the Questura or the local police station; where there is no police station, the town hall takes it. The Questura instructions list delivery in person, by certified email (PEC) or by registered post with return receipt.

The declaration must include the guest's identity details and a copy of the guest's identity document, which for you is the passport data page. The host's own ID copy goes with it. Keep the receipt as proof of submission for future checks, because it is the host's answer if anyone asks later.

The Questura instructions state an administrative fine of EUR 500 to EUR 3,500 for a host who does not comply on time.

Keep the receipt. If a guest later applies for a permit, or the host is asked about past guests, the receipt is the simplest proof that the notice was filed. Full compliance from the first night costs one form.

Hosts sometimes ask whether the notice can wait until the guest leaves. It cannot: the 48 hours run from the moment the guest moves into the home, not from the end of the stay.

A move to a new address during the trip generally calls for a fresh notice from whoever hosts you there. A hotel reports its own guests through Alloggiati Web, so a hotel night needs nothing from your host.

The notice is not part of your visa application, but it belongs in your visa plan anyway. Write your arrival date and the host's filing deadline in the same note, so the host does not learn the date from you after it has passed.

What Should You Correct or Ask Before the Appointment?

Run the file through these checks about two weeks before your visa appointment, while corrections are still cheap.

Corrections to make

  • Names spelled as on the host's ID across the form, letter, and lease.
  • One address, copied once from the lease or deed.
  • Dates on the host form, letter, application, insurance, and flight reservation all equal.
  • Host signature in ink, matching the ID or passport.
  • Host ID copy attached, with a signed permit copy for a non-EU host.
  • Lease covering every hosted night, or an addendum attached.

Consulates require printed documents, not digital screenshots. Ask the host to send originals by courier or other postal services, then print your own copies of everything else. A photo of a signature sent for you to print is unlikely to stand in for the signed page.

Flight dates belong to the same check. A flight reservation with a real PNR can follow the host's dates, but it stays a reservation, not an issued ticket. Some sites call it a dummy ticket; the officer only needs dates that match. A BookForVisa reservation costs a flat $15 per person, stays valid 48-72 hours and allows free date changes on the booking day only, so create it after the host's dates are final. How long a reservation remains useful before the appointment is covered in the Italy tourist visa reservation timing guide.

Questions to put to the handling office

  • Does the checklist for my visa type name a specific host form, or is a free-format letter accepted?
  • Must the host's signature be in original ink, and may the signed pages be couriered?
  • Which evidence is accepted if the host's permit renewal is pending?
  • Does a lease addendum need registration before the appointment?
  • Is a bank guarantee expected in my case, or only the host's cost and insurance statements?

Some practical tips apply to whoever assembles the folder. If a travel agency prepares your file, give it the host's papers as a finished set and ask it not to retype addresses or dates. Keep one folder in checklist order, so the officer meets documents in the sequence the list sets out.

What If Part of the Trip Is Not Hosted?

Split the stay into hosted and unhosted nights, then make every paper say the same thing about each part. The host form covers only the nights in the host's home; a hotel booking covers the rest. Together they must cover every night between arrival and departure.

NightsEvidenceWho reports to police
Hosted nightsHost form or invitation letter, host ID or permit, lease or deedThe host, within 48 hours
Hotel or B&B nightsBooking in your full passport name with the property's full addressThe property, through Alloggiati Web
Travel daysFlight reservation with dates matching the first and last nightNobody

Write the two date ranges on the host form, in the invitation letter and in your cover letter. If the host can only confirm part of the trip, shorten the hosted range rather than leaving a gap, and book the missing nights.

Where Do These Italy Host Rules Come From?

The rules above were checked against these pages in October 2026:

  • Embassy of Italy in New Delhi, visiting family and friends checklist (2024 edition, published through VFS Global) and visa documents page.
  • Consulate of Italy in Adelaide, Proof of Sponsorship and/or Private Accommodation form.
  • Polizia di Stato, hospitality to non-EU nationals: obligations for private hosts.
  • Questura di Napoli, hospitality declaration information and form (questure.poliziadistato.it).
  • Regulation (EC) No 810/2009, the EU Visa Code, Articles 9 and 14.
  • Legislative Decree 286 of 1998, Article 7.

Keeping the Italy Host File Consistent

For a Delhi applicant staying with a host in Turin, the whole task comes down to one reference document, the host form, and four facts that never drift: names, address, dates, and the host's permit. Fix the lease before the letter, and fix the letter before the appointment.

After the visa, the host's 48-hour notice protects both of you, so put its date in the same note as your arrival. If the host moves before the trip, our guide to updating the right records after a host move walks through the changes.

Host dates final? Match the flight and any hotel nights with reservations valid 48-72 hours, for a flat $15 per person, and keep the paid fare for after the visa.

Frequently Asked Questions

Does the hospitality form need a bank guarantee?

On the Adelaide consulate's bilingual form, the guarantee is optional. The New Delhi family and friends checklist asks for an original bank guarantee (fidejussione) when the host sponsors an applicant whose own finances are not sufficient. Read your own checklist.

Can a travel agency fill in the host's parts?

Only the host can sign, so an agency can arrange your side but cannot make the host's statements. Anything typed for the host should be read and signed by the host personally.

What if my host moves house before the trip?

Redo the whole set. A new lease, the changed address on the host form, and a new letter should replace the old set. A leftover old address is among the most common mismatches.

Does a Universitaly record replace host evidence?

No. A Universitaly pre-enrolment summary belongs to the study route and shows enrolment, not lodging. Accommodation still needs its own paper.

Is the police notice part of my visa file?

No. The host files it with the local police authority within 48 hours of you moving in, after you have entered Italy. It is not in your visa folder, but put the date in your plan so the host is ready.

Whose signature must match on the invitation letter?

The host's. The New Delhi checklist asks for an invitation letter signed by the host in Italy, with a signature matching the one on the host's ID or passport copy. A non-EU host also attaches the Italian residence permit copy.

Friendly reminder: BookForVisa prepares flight and hotel reservations to support visa applications and onward-travel proof. Requirements vary by destination, consulate, visa category and applicant situation. A reservation supports your file; it is not a paid ticket for travel and does not guarantee visa approval or entry.
