Short answer: A Poland student visa for a degree longer than 90 days is a national D visa, built in order: admission, then consular evidence, then arrival. From India, the study checklist asks for a one-way flight itinerary, reservation only, so a flight ticket for visa with a real PNR at $15 per person fits that line.
Indian students heading to a Polish university lodge a D-type national visa for study at a VFS centre under the Embassy in New Delhi or the Consulate General in Mumbai. The file is read in a fixed order: the university's admission certificate first, then the consular evidence that has to agree with it, then the arrival plan.
This guide follows that order using the Poland in India study checklist dated 14 May 2026. It covers admission and recognition, the required and optional checklist items, the funds formula, insurance, where the one-way reservation sits, the slot and decision timeline, and what follows arrival. It leaves out tourist trips, short courses and EU citizens. Dormitory paperwork and e-Konsulat form fields have their own detailed guides, so here they appear only where they affect the whole file.

Which Poland Student Visa Does This Route Cover, and Who Applies?

The route here is narrow on purpose: a full-time degree at a Polish university, an applicant who lives in India, and a national visa filed at a Visa Application Centre.
Obtaining a student visa for Poland involves university admission and consular paperwork, and the two kinds depend on each other. The university produces the admission evidence, and the consulate judges it. A mistake in the first kind travels straight into the second, so this guide starts with the university's documents and works outward.
For international students, the first trap is borrowing a list written for another country. The Poland student visa requirements differ by mission, by degree level, and by the date of the checklist. Official sources outrank a friend's folder, and the current requirements are the ones attached to the mission's own study page.
Why Is a Degree a D Visa and a Short Course a C Visa?
Polish student visas are categorized as long-term D visas. A D visa lets the holder enter Poland and stay continuously, or over several visits, for a total of more than 90 days within the validity of the visa. It is the visa for a degree, a preparatory course, or any programme that allows study for over 90 days.
A short course is different. It needs a C visa, the Schengen short-stay visa, valid for up to 90 days in any 180-day period. If your programme is a six-week summer school, the short-stay rules apply, and this route does not fit.
The D visa is valid for the length of the educational programme in the sense that the university's certificate drives the dates. The visa itself runs for one year at most, and the dates printed on it decide. A three-year bachelor's degree therefore needs a residence permit after the first stage, covered later in this guide.
A D visa also allows travel in the rest of the Schengen area for up to 90 days in any 180-day period, subject to normal entry conditions. That helps with a reading-week trip to Prague and has no bearing on the file.
The visa carries a student annotation only for full-time students and for people going to Poland to take a preparatory course for studies. A part-time programme does not qualify, so confirm the mode of study on the admission certificate.
Which Mission Takes Your File?
Poland's missions in India split the country by state of residence. The Embassy in New Delhi takes applicants living in Delhi, Uttar Pradesh, Punjab, Rajasthan, West Bengal, Bihar, Odisha, and the other northern, central, and eastern states on its list. It also takes residents of Bangladesh, Bhutan, the Maldives, Nepal, Sri Lanka, and Afghanistan.
The Consulate General in Mumbai takes Maharashtra, Karnataka, Kerala, Tamil Nadu, Telangana, Gujarat, Goa, Andhra Pradesh, Pondicherry, and the remaining listed territories.
A mission accepts only applicants who legally reside in its jurisdiction, and the checklist asks for an identity document showing that residence. A student from Pune files in Mumbai.
An Indian citizen living in the USA files with a Polish mission covering that area, not in India, whatever the university's location. Settle residence before anything else, because the wrong mission cannot accept the file.
Filing is personal. The application is submitted in person at a Visa Application Centre, and missions do not accept forms by fax, regular mail, or e-mail.
Neither the Delhi Embassy nor the Mumbai Consulate General works with agents or travel businesses, and applicants complete and register their own forms. Offers to secure a slot for a fee sit outside the mission's own process.
What Does This Route Leave Out?
Several neighbouring situations need other documents.
- EU, EEA, and Swiss citizens do not follow this process.
- Applicants who live outside India file with the mission for their place of residence, under that mission's checklist.
- Tourist and business trips use C visa evidence, which has its own document logic and is not covered here.
- Exchange and mobility students use a variant of the study checklist that adds a certificate from the home university and an invitation from the host university.
Minors follow the same route with extra parental papers, which appear among the conditional documents later. Scholarship holders follow it too, with a scholarship document replacing part of the funds evidence.
One adjacent question belongs to another guide: whether a long-term visa applicant should pay for a flight before approval. A short version appears in the discussion of flight evidence below, and the fuller treatment sits in the existing guide linked there.
How Does a Study File Differ From a Tourist File?
A tourist file for Poland and a study file look alike on a desk and differ in nearly every row. The student visa process starts with a university, while a tourist file starts with a route. The table is the whole summary, because the tourist route has its own documents and is not worked through here.
The practical consequence is that evidence which works well in one file can be wrong in the other. A hotel plan that fits a ten-day visit says nothing about a twelve-month stay, and a dormitory contract with a monthly fee is not a tourist booking.
Studying abroad from India adds a legalization chain that students from some other countries never meet, which is why the first half of this guide leans on the university's papers.
The applicant in this guide is an adult, 18 or older, holding an Indian passport, lodging a first application for a first or second cycle degree, with a university admission already in hand or close to it. If that describes you, the next question is what the university has to prove.
What Must Admission Prove Before the Consulate Reads Anything Else?
No admission, no file. Proof of admission to a Polish university is necessary for the visa application, and everything else in the pack is read against it: the dates, the programme, the fees, and the length of stay. The consulate treats the university's paper as the spine of the application.
Why Is a Plain Offer Letter Not Enough?
Students need a university admission letter for visa applications, but the word covers two different things. The email or portal message saying you were accepted is a university admission letter in the everyday sense.
The checklist asks for a formal original: a certificate of admission or continuation, issued by the educational establishment in the format set by a 2019 regulation of the Minister of Science and Higher Education.
Polish universities call this document the certificate of acceptance, and the Polish name is "zaświadczenie o przyjęciu na studia". A scan of the acceptance email will not stand in for it.
Request the certificate as soon as the university allows. Some universities issue it only after the first payment arrives and the recruitment documents pass a check, so the order of the university's own steps decides how early you can book anything at the consulate.
Read the certificate the moment it arrives. Your name must match the passport letter for letter, and the programme, level, and period of study must be what you applied for.
A wrong date of birth or a surname written in a different order is a university correction, and it is much faster to ask for it before the VFS appointment than at the counter.
Which Education Documents Support the Certificate?
The certificate says you were admitted. The education papers show why you were eligible. The checklist splits them by degree level.
For first cycle or foundation entry, the higher secondary certificate must be legalized or apostilled, and it must come with a recognition statement. That statement is either an individual one issued by the Director of NAWA or a decision of the competent Polish education superintendent. It confirms that the certificate gives the right to apply for higher education in Poland.
Since 1 July 2025, NAWA has issued these statements through its online system, following a 2025 act on irregularities in the visa system. Decisions already issued by an education superintendent remain valid. Applications run on scanned documents, which need no legalization at that stage, but the originals travel with the visa file.
For second or third cycle entry, the checklist asks for the higher studies certificate or the diploma of graduation, apostilled. Indian documents must first be authenticated by the Regional Authentication Centre in the state that issued them, and only then apostilled by the Ministry of External Affairs. Doing this in the wrong order sends the paper back.
Many Polish universities also ask master's candidates for a NAWA recognition statement on the diploma during admission. Ask your university whether it does, because if it does, the certificate depends on it.
Originals are presented at the counter. Plan the legalization chain early, because it involves offices in your home state and none of them work on your appointment date.
Which Language Evidence Does the File Need?
The checklist includes a language proficiency certificate showing the level the educational institution requires, and not lower than B2. The accepted documents are listed in a 2025 regulation, so what you attach should appear on that list.
For an English-taught programme, an English language test result is the usual choice. The checklist's own examples are an IELTS score of at least 6.5, a TOEFL iBT score of 79, or a Cambridge English Advanced result of 176 points on the CAE scale. Those figures are listed as strongly recommended proof of English skills for studies in English.
Two cautions follow from that wording. First, the university's admission rules set the working level for your programme, and the visa checklist sets B2 as the floor. Second, check that the result is still inside its validity window on the day you lodge, not only on the day you applied.
If the university admitted you on other language evidence, such as a prior degree taught in English, attach what the university accepted and ask the admissions office for a short note confirming that. The consulate then reads your admission against a document it recognises.
What Counts as Proof of Payment for Studies?
The checklist requires proof of payment for studies issued by the educational institution. If the programme is free of charge, a confirmation from the university is mandatory instead. A bank transfer receipt from you is not the same thing; the institution's own proof is what the file needs.
This is one half of the money story. The tuition half is carried by this payment proof, while the living half is carried by the funds documents discussed next.
Before paying, read the mission's published information on the university fee policy after a visa refusal. Universities set their own terms for returning fees, and the amounts can be large. Pay the instalment the university requires for the certificate, and ask in writing what happens to it if the visa is refused.
How Do the University Papers Fix Your Dates?
Four dates come from the university: the start of the academic year or intake, the period printed on the certificate, the payment date, and any accommodation period it offers. Every later document borrows from these.
Insurance, the accommodation contract, and the arrival date all have to sit inside the period the certificate describes. If the certificate says the programme starts on 1 October, a plan to land on 27 September fits, and a plan to land on 12 October does not.
Write the four dates on one page before you request anything else. The worksheet later in this guide shows how.
Which Study Checklist Documents Are Required, Conditional or Optional?

The study checklist for a national visa runs to thirteen numbered items, and the document requirements are not identical for every applicant. Sorting the items into required, conditional, and optional is an applicant-side method, not an official classification, but it stops both gaps and clutter. The table below uses the checklist dated 14 May 2026 for Indian applicants.
Which Basics Does Every File Need?
The documents needed first are the plainest ones, and they fail most often on small points.
The passport must have been issued within the previous ten years, must stay valid for at least three months after the intended departure from the Schengen territory, and must have at least two blank pages. A damaged passport is a problem before the file is read.
The visa application form must have no blanks and be signed twice, with the signature matching the passport. An adult can lodge and sign personally. A valid passport and a completed application form are the minimum the whole pack hangs from.
The photograph must be a recent biometric photograph: one colour print, 35 mm by 45 mm, white background, the face filling 70 to 80 percent of the frame, taken no more than six months before lodging. Take it at a studio that knows the specifications rather than cropping an old one.
At the top of the checklist, you fill in your name, passport number, purpose of visit, and contact details, meaning a phone number and an e-mail address you actually read. The mission uses them if it needs to reach you about a gap.
What Belongs in the Covering Letter?
A cover letter is a required item on this checklist, and the checklist describes its job: the purpose and duration of travel, a list of the attached documents, and other useful information. Keep it to one page.
A good letter states the university, the programme, the intake, and the period of stay in the same words the admission certificate uses. It names how the funds are arranged and where you will live. It lists the attached papers in the order of the checklist. Your study plans can take one sentence, because the file already proves them.
If you draft the letter with artificial intelligence tools, treat the output as a first pass. Check every date, figure, and name against the originals before signing, since a polished sentence with a wrong intake month contradicts the certificate in the same file.
The letter is also where you point out anything the reader would otherwise question. A name spelled differently on two papers deserves one clear line in writing, with the document that explains it attached.
Which Documents Are Conditional?
Conditional documents appear only when your situation triggers them.
Applicants under 18 need parental consent and identification. If the minor travels with one parent, the other parent's consent is certified by a notary. If the minor travels alone, both parents or guardians consent in the same way.
Copies of the applicant's parents' identification documents, with signature and photograph, are added, along with the birth certificate legalized or apostilled. Sole custody is shown by a court order.
A sponsor triggers a notarized letter of sponsorship, covering the funds. A scholarship triggers the scholarship document, which can replace part of the evidence of funds.
Exchange students use a different variant that asks for an invitation letter from the Polish university and a certificate from the home university. A degree applicant does not need a separate invitation letter from the university, because the admission certificate does that job.
The identity document showing legal residence within the mission's jurisdiction is checked every time, so carry it even though it feels like a formality.
What Counts as Optional, and What Only Adds Weight?
The checklist lets applicants add additional documents they consider useful to explain or justify the trip. The test is whether a document answers a question the file leaves open.
A language score above the minimum answers a question when the admission paper does not state a level. A printout of the closing figure from an Indian bank answers nothing the funds list asks, because the listed instruments are narrower than people expect, as the next discussion explains.
Supporting documents that answer no question add weight without adding proof, and a thick file is no stronger than a clear one. An example of clutter is a folder of old certificates unrelated to the programme.
An example of useful extra evidence is a short letter from the university housing office explaining why the dormitory contract starts a few days after the arrival date.
Everything accepted into the file should be in English or Polish, in the original language version the checklist requires, so budget time for translations of anything issued in another language.
How Do Funds, Insurance and Accommodation Fit Together?
Three documents carry the money and housing story, and they have to agree on months. The funds say how long you can live in Poland, the accommodation papers say where and at what price, and the insurance certificate says for which dates you are covered. A gap between any two shows up at the counter.
How Much Does the Checklist Ask You to Show?
Financial proof must demonstrate the ability to cover living expenses and tuition fees. The tuition half is handled by the university's proof of payment.
The living half is the funds line, which has three parts: living costs for each month of the intended stay, the cost of accommodation as documented by the accommodation papers, and 2,500 PLN for return travel to the country of origin or residence.
The monthly figure is where applicants go wrong, because older guides and earlier checklist versions printed lower amounts. The checklist dated 14 May 2026 uses PLN 1,010 a month, the same figure the voivodeship offices use for students. Use the figure printed on the version you lodge against.
Yearly totals quoted in forums are not on the checklist. It prints no yearly total, so build your own from its three lines.
For illustration only, a twelve-month stay with a dormitory fee of 1,100 PLN a month would work out as 12,120 PLN for living costs, 13,200 PLN for accommodation, and 2,500 PLN for return travel, a total of 27,820 PLN. Your accommodation papers set the middle number, which is why they come first.
Proof of funds must include accommodation costs documentation. A funds pack that leaves it out looks complete and is not.
Which Funds Documents Does the Checklist Accept?
The checklist asks for one or more of the following, and states that no other documents will be accepted or taken into consideration for this purpose.
- Traveller's cheques.
- A certificate of the credit card limit, issued by a bank in India, Poland, or another country.
- A certificate of the availability of money in a bank or cooperative savings and loan association located in Poland, another EU member state, an EFTA state, or Switzerland. The bank must be located there.
- A document confirming a national or foreign scholarship.
- A notarized letter of sponsorship, where someone else pays, covering all travel, living, and accommodation costs.
- A certificate of employment with a monthly salary statement, or the documents above.
Read the third item twice. A balance certificate from an Indian bank is not on this list.
To use that route, you need a bank account in Poland or another listed country, and your sponsor must be able to send money to it, so the account has to receive money before the certificate is issued. Opening and funding the account takes time that belongs in your schedule.
Advisers often suggest six months of bank statements showing a consistent balance. A steady history does make a sponsor's means easier to read. But the checklist names specific instruments, and a printed bank balance from an Indian account is not one of them. Treat statements as background, and build the file on a listed instrument.
How Does a Sponsor Fit In?
A sponsor needs two things in the file: the notarized letter and evidence of means. For a salaried sponsor, the evidence is the employment certificate with a monthly salary statement.
The letter must commit the sponsor's financial support to every cost the checklist lists, not a share of them, and the relationship it describes must match the rest of your papers. If it names a father, the surnames and any other document that mentions him should agree.
A provident fund is a common question for Indian families. Those balances are not a listed instrument. If a sponsor's savings sit mainly there, the listed route is still the employment certificate and salary statement, and the fund statement can be added as an optional item only if it answers a question the file raises.
Scholarship applicants have a simpler path. The scholarship document goes in as the funds evidence, and the university or awarding body should state what the scholarship covers so the consulate does not have to guess the gap.
Which Funds Route Suits Which Applicant?
The listed instruments suit different families, and the lead time sits in a different place for each. The table compares them in the checklist's own terms.
Whichever row fits you, the accommodation papers still set the middle figure of the funds line, and the university's proof of payment still carries tuition. A funds instrument that is strong on paper and dated after the appointment is no help, so start the slowest row first.
What Does the Insurance Certificate Have to Say?
The checklist requires a certificate of travel medical insurance issued by a company on the Ministry of Foreign Affairs list of approved insurers. Handwritten certificates are not accepted, and the insured's name must be written in the Latin alphabet.
The policy must be valid across every Schengen state and for the entire duration of the stay. The minimum coverage is 30,000 euros. It must cover emergency medical treatment, repatriation for medical reasons, and repatriation of the deceased in case of death. A policy below that level, or from an insurer not on the list, does not meet the line.
Health insurance within the meaning of the Polish act on publicly financed healthcare is accepted as an alternative to the travel policy.
The certificate goes into the file at lodging, so its start date must be chosen before the decision date is known. Choose the planned arrival date, and ask the insurer how a changed start date is handled. The insurer list carries its own date, so check that you are reading the latest edition.
What Should the Accommodation Papers Show?
Proof of accommodation is required for the visa application. The checklist asks for original documents confirming that appropriate accommodation is available for the intended period of stay: a lease agreement, a dormitory decision, or another type of accommodation proof. The documents must state the monthly fees.
The period matters as much as the fee. A dormitory contract that ends in June does not cover an intended stay that runs to September, and the funds line is built from the accommodation papers, so a mismatch shows up in both places.
If the university contracts housing only for the teaching months, ask the housing office for a document that explains the summer arrangement, or shorten the stated stay to what the paperwork supports.
Where Does the One-Way Reservation Sit, and When Is a Paid Fare Worth It?
For Indian applicants, a flight reservation is a real checklist item on this route, not an optional extra. Another mission's checklist may word the line differently, so confirm it on the copy you hold.
This part covers only where the reservation sits in a Poland study file; general reservation rules, airline holds, and border questions belong to other guides.
What Does the Checklist Line Actually Ask For?
Item 7 on the checklist dated 14 May 2026 reads "flight itinerary (reservation only)", followed by a note that a one-way reservation is required and a space for the date. Earlier versions of the checklist asked for a return reservation. That change is the best reason to read the version date before you build anything.
A reservation only tells you that the consulate is not asking for an issued ticket. Three evidence states are easy to blur here, so keep them apart:
- A reservation is a booking record, and it is what the file asks for.
- An issued ticket is the paid document, and it is bought after the visa decision.
- Entry is decided by the Border Guard on arrival, which has nothing to do with the consulate file.
The one-way wording suits a student. A degree programme has no fixed return date, and the stated purpose is a stay that may later turn into a residence permit. A return leg invented to look conventional would contradict the covering letter.
Which Date Goes on the Reservation?
The arrival date has to fit between the start of your accommodation and the start of the programme. Land before the dormitory contract begins and you have an uncovered night. Land after the intake begins and the certificate stops making sense.
The checklist adds a timing note: an application lodged less than 30 days before the intended travel date is accepted at the applicant's own risk. So the reservation date should sit at least 30 days after the lodging date, and the decision window of 15 days, extendable to 30, should fit inside that gap with room to spare.
Fill the date field with the same date your insurance policy starts and your accommodation papers allow. If the university changes the intake or the housing start date, the reservation changes with it, which is the main reason to prefer a flexible reservation over a fixed-fare ticket at this stage.
Some applicants search for a dummy ticket for this line; what the checklist wants is a verifiable reservation. A BookForVisa reservation carries a real PNR, costs a flat $15 per person, stays valid for 48-72 hours, and date changes are free on the booking day only, so order it close to the appointment once the intake and housing dates are fixed. It is a reservation for the visa file, not a paid ticket for flying.
How Do You Keep the Reservation in Step When Dates Move?
Dates move in a predictable order. The university changes the intake or the housing start, the accommodation papers follow, the insurance start follows those, and the reservation comes last. Change them in that order, and the worksheet shows which rows are now out of date.
Before lodging, a moved intake is an inconvenience: ask for a corrected certificate, adjust the other papers, and order a reservation with the new date. After lodging, the file is judged on what was submitted, so lodge only when the intake and the housing dates are settled.
The reservation is the cheapest of the four to change, which is another reason to hold the issued ticket back. If you lose a week to a university delay, the policy start date and the accommodation papers are the documents that need real work.
When Is a Paid Ticket Worth It?
The question of paying before approval comes up in nearly every long-stay file, and the guide on flight itinerary rules for Type D visas covers it in general terms. For this route, the practical answer is short.
Buy the paid ticket after the visa is in your passport. At that point the validity dates are printed, the intake is certain, and the insurance and accommodation dates can be checked against a real visa.
Before that point, a paid fare carries all the risk of a changed date or a refusal, and the file does not ask for it.
A refusal also affects money you have already committed to the university. The mission publishes information on the university fee policy after a refusal, and a fare you cannot get back on top of a disputed tuition instalment is the kind of loss that is avoidable. Pay for the flight last.
Whether embassies weigh a return leg differently is covered in our guide on choosing a round-trip or one-way booking.
What Happens Between Admission and Arrival, Stage by Stage?
The journey from admission to arrival runs in a fixed order, set by who issues what. The timings below combine the mission's published rules with a planning margin, and the planning margin is our judgment, not an official number.
Which Papers Must Exist Before You Register?
Before you register anything, collect the admission certificate, the proof of payment for studies, the legalized education documents with NAWA recognition where it applies, the language certificate, the accommodation papers, and the insurance certificate. The funds instrument needs the longest lead time, especially if it involves a newly opened account or a notarized sponsor letter.
Registering first and gathering later is tempting, because slots go in order of registration. But a slot you cannot use is worse than a later slot you can. Register when the pack is close to complete, not when it is empty.
How Do You Register and Book an Appointment?
For study, the application is registered on the e-Konsulat website, and student visa applications are not booked through the VFS appointment system. That system is used for Schengen visas and other national categories. You must book an appointment, and the e-Konsulat registration is how you get one.
Slots for study visas are allocated in the order of registration. At the Embassy in New Delhi, study slots run on Mondays, Tuesdays, and Wednesdays at 10:00.
At the Consulate General in Mumbai, they run once every two weeks, on a Wednesday at 10:30. Mumbai applicants should therefore register as soon as the pack is ready, because a missed fortnight is a long wait.
The application may be submitted no earlier than six months, and as a rule no later than 15 calendar days, before the start of the intended visit. Registration data must match your documents exactly, so copy names, dates, and passport numbers from the originals.
There is a second form. Everyone travelling for study must also fill in a second application form on the VFS Global website, in addition to the e-Konsulat form, before visiting the centre. Print both, and keep the e-Konsulat confirmation with you.
What Happens at the Visa Application Centre?
A student visa for Poland is applied for through the Embassy or a Visa Application Centre. For Indian applicants, the study file is submitted at a VFS Global centre in India, in person, on the date and at the time the registration gave you. The appointment is how the file gets accepted.
Bring the originals the checklist says must be shown at the counter, especially the education documents and the admission certificate, with the copies arranged in checklist order. The passport stays with the mission while the application is processed, so do not plan other travel for the decision window.
The national visa fee is EUR 135, according to the Ministry of Foreign Affairs notice in force since 1 June 2024, and it is not returned whatever the consul decides. It is collected in local currency, so check the amount that applies on your date, and add the VFS service charge.
If the application has formal deficiencies, you have the right to submit the missing documents within seven days of lodging. Beyond that, the application is judged on what is already attached. The missing documents can be couriered directly to the consular office or handed in at the VFS counter.
How Long Does the Decision Take?
A national visa is issued or refused within 15 days of submission unless the application is declared inadmissible. In justified cases, the deadline can extend to 30 days, and the checklist states that a decision comes within 30 calendar days.
Visa processing typically takes around 15 days, but it can take longer depending on the mission's workload. Courier movement and passport collection add time on either side of the decision period.
Applicants often plan four to eight weeks from lodging to passport collection. That is a planning margin, not an official period: the official figure is the decision period, and courier movement and collection sit on either side of it.
Plan with the longer window. If you lodge on a Wednesday in early July, count on late August before the passport is back, and do not buy anything fixed before then.
An application lodged less than 30 days before the intended travel date is accepted at the applicant's own risk. Treat that sentence as a reason to lodge earlier than the minimum, not as a deadline to aim for.
What Happens After the Decision?
Passports submitted through VFS are collected at the appropriate centre. If the decision is a refusal, an appeal can be made within 14 days of collecting the passport by submitting the passport, an appeal letter, and the appeal payment. For applications lodged through VFS, the reconsideration request can be submitted at the centre.
If the decision is a visa, check the printed dates against everything else before leaving the counter. The visa runs for the period decided by the consul, to a maximum of one year. Compare its validity dates with the insurance policy, the accommodation start, and your planned arrival.
Which Dates Can You Control, and Which Do You Wait For?
You control when the papers you request are collected, signed, and checked. You control the order in which you register, pay, and book. You control how early you start the legalization chain and the notary visit.
You wait for the university's certificate and its annex, NAWA's recognition statement, the e-Konsulat slot, the decision, and the return of the passport. Progress stalls at these points, and none of them can be hurried by you.
So the schedule should be built backwards from the intake, with the waiting items given their longer figures, and the controllable items placed early enough to absorb a slipped date.
When Do You Buy the Ticket and Move?
With the visa in hand, buy the issued ticket for the date within the visa validity, after the accommodation start and before the intake. This is the point at which a paid fare is useful, because every date it depends on is now fixed.
Carry the originals you will need on arrival: passport with the visa, the admission certificate, the accommodation confirmation, the insurance certificate, and the proof of payment for studies. The residence permit application that follows uses most of them.
How Does a Document-to-Date Worksheet Work for One Applicant?
The worksheet below follows a fictional applicant, Arjun Mercer, a resident of Mumbai who has been admitted to a master's programme at a Polish university in Wrocław for the 2027/28 intake.
His father, Anthony Mercer, is a salaried employee and will act as sponsor. None of these people, dates, or amounts are real. They exist to show how every document is tied to a date and every date is tied to a rule.
The intake is Friday 1 October 2027. Arjun files with the Consulate General in Mumbai because he lives in Maharashtra.
Two further entries are planning judgments, not rules, so they carry no source. Arjun expects the passport back between 4 August and 1 September 2027, his own planning margin, and he buys the issued ticket only after the visa is in the passport.
What Does the Worksheet Reveal?
Reading the dates in a column, four things stand out. Each is a mismatch that a reader of the file would spot quickly.
The first is the dormitory decision. It ends on 30 June 2028, while the intended stay runs to 24 September 2028 and the insurance covers the full year. The accommodation papers and the funds line both rest on this document, so the shortfall appears twice.
The fix has two options. Ask the housing office for a document covering the summer months, or ask the university for a note explaining the summer arrangement. Alternatively, shorten the stated stay to match the contract and let the residence permit cover the rest. Arjun's university offers a summer extension letter, so he takes the first option.
The second is the insurance start. The first draft of the policy started on 1 October, the day classes begin, which leaves the first six nights in Poland uncovered and also contradicts the dormitory start. He moves it to 25 September.
The third is the sponsor letter. The first version says Anthony will cover tuition and living costs but not return travel or accommodation. The checklist asks the sponsor to cover all travel, living, and accommodation expenses, so the letter is rewritten with all three named.
The fourth is a spelling difference. The IELTS report lists the surname with a middle name that the passport does not. Arjun adds one line to the covering letter and attaches the explanation, so the officer does not have to guess whether this is the same person.
How Does the Funds Line Add Up for This File?
Arjun's stay is twelve months. Living costs at 1,010 PLN a month come to 12,120 PLN. Accommodation, from the dormitory decision and the extension letter, is 1,100 PLN a month for twelve months, or 13,200 PLN. Return travel is 2,500 PLN. The total is 27,820 PLN.
Anthony's employment certificate and monthly salary statement show regular income. His provident fund passbook is not a listed instrument, so the file does not rely on it. Arjun adds it as an optional paper only because a note on the covering letter says the family also holds long-term savings, and the passbook backs up that single sentence.
Yearly totals from other guides play no part, because the checklist prints no yearly total and Arjun's own three lines are the standard he is held to.
How Would the Worksheet Change for a First-Cycle Applicant?
Take a second fictional applicant, Sophie Grant, a resident of Delhi admitted to a bachelor's programme in Warsaw. Her worksheet differs from Arjun's in three rows.
The diploma row becomes a higher secondary certificate, authenticated and apostilled in the same two steps. It must also carry a recognition statement from the Director of NAWA, or an education superintendent's decision issued earlier.
That statement is the long item, because under many universities' rules it has to exist before the certificate of admission is issued, so it sits at the top of her date column.
The second difference is the mission. She lives in Delhi, so she files under the Embassy's scheme, where study slots are released on Mondays, Tuesdays, and Wednesdays, far more often than Mumbai's fortnightly rhythm.
The third is the language row. A bachelor's programme taught in English asks for the same B2 floor, but she checks that her chosen score appears on the accepted list before she books a test.
Everything below the education row runs exactly as Arjun's does.
Why Does Date Order Beat Document Count?
Every row in the worksheet is a date that another row depends on. The reservation depends on the lodging date, the lodging date on the appointment, the appointment on the registration, and the registration on the papers that must exist first. Fixing any single document in isolation changes the rows beneath it.
That is why the worksheet is arranged by date and not by document type. When a university moves the intake, one change at the top reshuffles the column, and you can see which papers need correcting. The reservation, the insurance, and the accommodation dates are the usual three that move together.
What Changes After Arrival: Residence Permit, Address and PESEL?
Landing in Poland does not finish the paperwork. Two procedures start soon afterwards, and both depend on documents you already hold. This part summarizes them, and the step-by-step details of each belong in a guide of its own.
Why Is a Residence Permit Part of Planning a One-Year Visa?
Students can convert a D visa to a temporary residence permit, and most degree programmes require them to apply for the temporary residence permit before the visa expires. A D visa can be extended only in exceptional circumstances, so a degree that runs for two or three years rests on the permit.
The timing rule is strict: apply while you are legally staying in Poland, and no later than the last day of your legal stay. Start well in advance, because your university must complete part of the application before you can submit it.
A first permit for a student beginning the first year is normally granted for 15 months, though different periods apply to certain mobility programmes, shorter courses of study, and doctoral school education.
Later permits cover the remaining period of study plus three months, up to three years. Filing after the visa has expired leaves a gap in legal stay, which is exactly what the early-application rule prevents.
How Does the Online Application Work?
Since 27 April 2026, applications for residence permits for study purposes are submitted electronically through the MOS portal. Access to MOS is free. Even if you had an account in the earlier version, you must create a new one.
You log in through login.gov.pl, complete the application, and upload the required documents: a digital photograph, scans of all pages of your valid travel document, proof of the required fee payments, and other supporting papers such as evidence of insurance cover and sufficient funds.
You then enter the e-mail address your university has designated for residence applications. MOS sends the university a link to an online annex, and an authorized university representative must complete and sign it before you can submit.
You also sign the application yourself with a trusted signature, a qualified electronic signature, or a personal signature, and then download the acknowledgement of receipt.
The voivodeship office later summons you to give fingerprints and a specimen signature and to show the original travel document.
What Does the Permit Cost?
The stamp duty for a student permit is PLN 340, and the residence card carries a separate fee of PLN 100, according to the Office for Foreigners. Ask the voivodeship office whether any reduced card fee applies to you before paying. Both are paid into separate accounts named by the authorities.
Applications have been filed online only through the MOS portal since 27 April 2026, so keep scans of every paper you lodge with the visa.
Where Does PESEL Come In?
After arrival, students must register their local address, and the registration is what produces a PESEL number. A foreigner who registers residence for a stay of more than 30 days is assigned the PESEL number automatically, and the service is free of charge.
If you cannot register your address but an office requires a PESEL, a non-EU applicant submits an application in person at any municipal office, with a handwritten signature and an identity document, and the application is accepted immediately. The application must name the legal basis for needing the number.
Treat the address registration as the first errand after the dormitory check-in. Registration is tied to where you live, so keep the accommodation papers lodged with the visa in your hand luggage, not in the checked bag.
How Should You Time These Against the Visa?
Work backwards from the visa's last day. Allow time for the university to complete its annex, for the fee payments to clear, and for the online application to be signed.
The worksheet earlier set a target of 30 June 2028 for a visa expiring in late September 2028. That is a margin chosen by the applicant, not a published deadline, and it is deliberately generous because the university's annex is outside your control.
Which Other Questions Come Up Before Lodging?
These questions surface in the last fortnight before an appointment; the most common ones are answered in the FAQ below.
Which Documents Need Translating?
The checklist requires documents in their original Polish or English version. A paper issued in another language needs a translation into one of those two, and a translation does not replace the original, which you may still be asked to present. Ask the university which translations it already holds, since it may have seen the same paper at admission.
Does the Sponsor Letter Have to Be Notarized?
Yes, the checklist names a notarized letter of sponsorship. The checklist asks for notarization of the sponsor letter, not of the covering letter or the application form. Book the notary early, because the letter is only useful once it states every cost the sponsor accepts and the sponsor's employment papers are attached.
Can You Reuse These Papers for the Residence Permit?
Many of them, yes. The online residence permit application uses scans of the whole passport, evidence of insurance and of sufficient funds, and proof of the fee payments, and your university completes its own annex. Keep the originals and a clean set of scans from the visa stage, so the second application starts from a folder and not from memory.
Do You Need a Polish Bank Account Before Arriving?
Only if you choose the balance certificate route from a bank in Poland, another EU state, an EFTA state, or Switzerland. The sponsor letter, scholarship, and credit card limit routes do not need it. On the account route, plan for the certificate to be issued before your appointment and for the money to reach the account in time.
When Should the Work Start?
The application may be lodged no earlier than six months before the visit begins, and the legalization chain and recognition statement take time that is outside your control. Start those two first. Registering on e-Konsulat comes when the rest of the pack is nearly done, and the appointment follows in order of registration.
What Should the Final Document Check Cover?
Run this check the evening before the appointment, with the originals on the table and the copies in the order of the document checklist. It catches the mismatches that cost most.
Does Every Date Fit Inside the Certificate Period?
Lay the admission certificate beside the accommodation papers, the insurance certificate, and the reservation. The accommodation start must be on or before the arrival date, the insurance must begin on the arrival date or earlier, and the reservation must fall between the accommodation start and the intake.
If the stay you state is longer than the accommodation contract, fix the contract or shorten the stay.
Do the Names and Numbers Agree?
Compare the name on the passport with the name on the certificate, the payment proof, the education papers, the language report, the insurance, and the sponsor letter.
Compare the passport number with both application forms. If there is a real difference, such as a middle name on one paper, put one line in the covering letter and attach the paper that explains it.
Does the Funds Line Add Up?
Rebuild the sum from the three parts of the checklist: monthly living costs for each month of the stay, the accommodation cost taken from your accommodation papers, and 2,500 PLN for return travel.
Check that the instrument you chose is a listed one, that a bank used for a balance certificate is located in an accepted country, and that the sponsor letter covers travel, living, and accommodation. Tuition sits separately, in the university's proof of payment.
Is the Form Pack Complete?
You need the checklist filled in, the e-Konsulat form printed and signed twice, the additional VFS form, one photograph that meets the specification, and the covering letter. Add the identity document showing legal residence in the jurisdiction. Check that no field is blank.
Are the Originals and Copies Ready?
Present the admission certificate and the education documents as originals. Keep copies in the checklist's order, with a copy of the passport data pages. Put the sponsor letter, the employment certificate, and the insurance certificate in the same order as the covering letter's list, so the officer's eye follows your own list.
What if the Consulate Asks Questions?
The mission reserves the right to request additional information or documentation and, if it considers it necessary, to interview the applicant. That is an ordinary part of the process, not a sign of trouble.
Prepare for it with the worksheet. Keep a one-page list of the dates and amounts in the file, so you can answer a question about the funds line or the accommodation period from the papers in front of you.
Answer what is asked, point to the document that carries the fact, and do not add a new claim that the file does not support.
Pointing to a paper, for example, "the sponsor's employment certificate is item 10 of the pack", is stronger than any explanation you give from memory.
What Is Left After Lodging?
Note the deficiency deadline, seven days from lodging, in case the officer finds a gap. Note the decision window of 15 days, extendable to 30, plus your own planning margin for courier and collection.
Keep the reservation flexible, hold the issued ticket until the visa is in the passport, and start planning the residence permit and address registration while you wait.
Which Official Sources Support This Study Visa Guide?
The rules and figures above rest on the following sources, all checked on 31 October 2026. Where a page carries its own date, it is shown.
- Poland in India (gov.pl), "D-Type national visa - study", with its study checklist dated 14 May 2026.

Figures and versions change, so confirm the date printed on the checklist you hold.
How Do You Match Every Date Before You Lodge in India?
A Poland student visa file for an Indian applicant is a chain of dates. The university certificate sets the intake, the accommodation and insurance follow it, the funds line is built from those, and the one-way reservation lands between them.
Read the checklist's version date first, rebuild the funds sum from its current figures, and fix every mismatch before the appointment at the Visa Application Centre.
After the visa comes the residence permit and the address registration, both smoother when your documents already agree. If you want the reservation ready once your dates are firm, the BookForVisa reservation page is where to arrange it.

Create your $15 student flight reservationFrequently Asked Questions
Is a flight reservation required for a Poland student visa from India?
Yes. The Poland in India study checklist lists a flight itinerary, reservation only, and adds that a one-way reservation is required. It does not ask for a paid fare. A BookForVisa reservation has a real PNR, costs $15 per person and stays valid for 48-72 hours, so order it close to the appointment.
How much money must a student show for a Poland study visa?
Build it from three lines on the checklist: PLN 1,010 for each month of stay, the accommodation cost from your papers, and PLN 2,500 for return travel. Show it with listed instruments only, such as a scholarship document or a notarized sponsor letter with income proof, and check the version date of your checklist.
What is the Poland national visa fee for students?
The national visa fee is EUR 135, in force since 1 June 2024 under the Ministry of Foreign Affairs notice. It is collected in local currency at the visa centre, plus the VFS service charge, and it is not returned if the visa is refused. Confirm the local amount on your appointment date.
How long does a Poland student visa decision take?
The consul decides within 15 days of lodging, and in justified cases within 30 days. You have seven days after lodging to supply documents for formal deficiencies. Courier movement and passport collection come on top, so many students keep a planning margin of several weeks before the intake.
What happens if the Poland student visa is refused?
The visa fee is not returned. You can appeal within 14 days of collecting the passport, with the passport, an appeal letter and the appeal payment. Tuition already paid follows the university's own fee policy after a refusal, so ask for that policy in writing before paying an instalment.
Does a scholarship change the Poland student visa file?
A scholarship document is one of the listed funds instruments, and where it covers living costs it can stand in for a sponsor letter. Ask the awarding body to state what the scholarship covers. Accommodation papers, insurance of at least EUR 30,000 and the one-way reservation are still required.
Friendly reminder: BookForVisa prepares flight and hotel reservations to support visa applications and onward-travel proof. Requirements vary by destination, consulate, visa category and applicant situation. A reservation supports your file; it is not a paid ticket for travel and does not guarantee visa approval or entry.
