Short answer: A Poland student dormitory certificate works as visa accommodation proof only when its name, dates, monthly fee and address match your admission, funds and insurance. India's study checklist also asks for a one-way flight reservation for visa files, which should land inside the dormitory dates; a $15 reservation with a real PNR covers it.
The dormitory certificate is the one accommodation paper a Polish university writes for you, and the consul reads it line by line against the rest of the student file. The Poland in India study checklist asks for "original documents confirming the availability of appropriate accommodation for the intended period of stay", names "decision granting the dormitory" as one option, and adds that the documents must contain the monthly fees.
This guide shows which fields to check, how to line the certificate dates up with your course and your one-way arrival date, how the monthly fee feeds the funds calculation, and what to ask the university to correct before you lodge. It is written for applicants to a full degree at a Polish university who will hold a national D visa, with India as the worked consulate example.
Key facts for the dormitory line

Official-source check: Accommodation, funds and flight-itinerary lines follow the Poland in India D-type study visa page and its checklist. The PLN 1,010 monthly figure and the PLN 2,500 return-travel amount match the voivodeship sufficient financial resources for a student entry. The EUR 135 fee comes from the Ministry of Foreign Affairs national visa fee notice.

What Does a Poland Student Dormitory Certificate Prove to the Consulate?

A Poland student visa allows stays longer than 90 days. That makes it a national visa, not a short Schengen stay. Citizens of the European Union and the European Economic Area do not apply for it.
Everyone else who plans an extended period of study starts the visa process at a Polish consulate, usually after securing admission. Once the student is in Poland, the visa leads to a temporary residence permit.
A student dormitory certificate is one accepted form of the mandatory accommodation proof for a Polish national student visa. The India checklist lists a decision granting a dormitory place beside a lease agreement and "other type of accommodation proof". Consulates expect the proof to cover the intended period of stay.
Polish national visa applications require confirmation of accommodation for the entire intended study period. For a first-year student, that usually means the placement has to run as long as the course the admission certificate describes, not just the first semester.
The university issues the certificate, not you. In practice, the university's international office, or the dormitory administration it works with, prepares it once you accept an offer and pay what the offer asks.
The dormitory certificate must be issued on official university letterhead with an authorized signature. Polish authorities expect an original from an educational institution, and letterhead plus signature is how the university shows it.
One example of the sequence: the University of Łódź language center sends two items after the payment reaches its account: a letter in Polish addressed to the embassy and a scan of the dormitory booking confirmation. The applicant takes both to the consulate.
Around the certificate are the other required documents. These include a valid passport, a completed visa application form printed from the e-Konsulat system and signed, and health insurance valid in Poland, which must be purchased and shown with the file.
You need an admission document from a Polish university to apply. Universities word it differently: an official admission letter, an acceptance letter, or the certificate of admission the checklist names. The India checklist asks for the original certificate of admission in the format set by the 2019 regulation of the Minister of Science and Higher Education, whichever title yours uses.
The certificate proves a place and a price. It does not prove admission, tuition payment, or funds, and each of those has its own line on the checklist.
Which Fields Should the Dormitory Certificate Show?
Mission checklists agree on the core and differ at the edges. The table sets each field against the line it answers, using the Poland in India study checklist, with notes where other missions may word a line differently.
Beyond those published lines, a well-made certificate carries five details that are worth checking line by line:
- The full name of the student, matching the passport details.
- The exact physical address of the dormitory.
- The student's allocated room details, stated clearly.
- The exact duration of the accommodation, with start and end dates.
- The financial cost associated with the accommodation, stated explicitly.
The first of these is the easiest to get wrong. Accurate personal information matters more than design. A middle name dropped from the certificate, or a date of birth written day-first on one page and month-first on another, gives the consulate a reason to pause before it reads anything else.
Requirements vary depending on the mission that handles your file, and so does its application procedure, so the nearest Polish embassy or the consulate for your region has the last word. Read its checklist line for accommodation before you ask the university for the certificate, and send that line to the university with your request.
If a dormitory place is not available, the same checklist line accepts a rental agreement with the monthly rent shown. That is a separate route, and it belongs with accommodation documents in general. This guide stays with the dormitory certificate.
If no dormitory place is available at all, our guide to using a rental agreement as accommodation proof explains what a private lease has to show instead.
How Do the Certificate Dates Line Up With the Course and Visa Window?

Five documents each carry their own dates, and the dormitory certificate sits in the middle of them. Read them as one chain, from course start to the last day of the visa:
- Admission certificate: the course start and end that the university states.
- Dormitory certificate: placement start and end, with the monthly fee.
- Insurance: valid in Poland and covering the entire duration of the visa.
- Funds: months of living expenses counted over the same stay.
- Travel: the India study checklist asks for a flight itinerary, "reservation only", and states that a one-way reservation is required. Its arrival date should fall inside the dormitory dates.
The placement should open on or before your arrival and close after the course ends. We would ask the university for a start date a few days before the first class, so a late flight or a delayed visa does not leave you with nights that no document covers.
The order of the application process matters as much as the dates. Secure the admission certificate first, because the course dates come from it. Pay the university what the offer asks, by bank transfer where the university gives account details, because some universities release the dormitory letter only after payment arrives.
Then request the dormitory certificate, buy the insurance, and ask the bank for the funds letter last, so every figure matches the final dormitory fee.
Processing time is set by the mission. The India study checklist states that a visa decision is taken within 30 calendar days of delivery of the application to the Embassy or Consulate General. Ask your own mission which period it applies.
A Poland study visa filed less than 30 days before the intended travel date is accepted at the applicant's own risk.
If the certificate or the completed application form is the document that fails, the checklist gives seven days from lodging to supplement formal deficiencies. After that, the file is assessed on what it already contains.
Appointment availability at the mission can limit how early you can lodge, so book the visa appointment before the certificate is final and use the waiting time to get it right.
Visa fees are paid at lodging and are separate from the dormitory fee. The Ministry of Foreign Affairs set the national visa fee at EUR 135 from 1 June 2024, and older figures still quoted online are out of date. Pay the amount printed on your own mission's fee table or visa centre page.
Where the counter collects biometric data, it does so at the visa appointment, and the consulate may invite you to a visa interview. Expect questions about where you will live and what it costs. The certificate answers both, so read it before you go.
The chain does not stop at the visa. The Karta Pobytu is required for non-EU students studying for over 90 days. It is a temporary residence permit, issued by the Voivodeship Office in Poland as a residence card, and it is valid for the duration of studies.
Since 27 April 2026, applications for a temporary residence permit can be submitted only electronically, through the MOS portal run by the Office for Foreigners. The legal limit is the last day of legal stay on your current visa, and the university must complete its own part of the application first, so start well before the visa ends.
Some university guidance lists a dormitory confirmation as accepted proof of accommodation for that second step, so keep an extra original.
How Does the Monthly Dormitory Fee Change the Funds You Must Show?
The fee on the certificate feeds the funds calculation, which is why the checklist asks for it to be stated clearly. A certificate with no amount gives the consul no figure to add for accommodation. Sufficient financial means are measured against the whole stay, not the first month.
The living-cost figure on the India study checklist is PLN 1,010 per month of the intended stay, and the voivodeship guidance on sufficient financial resources for a student uses the same PLN 1,010 for a single student, after housing costs. Twelve months at that rate is PLN 12,120 before accommodation and return travel are added.
Some older mission checklists still print lower monthly figures, such as PLN 776. Use the figure printed on your own mission's current checklist; this guide uses PLN 1,010 as the planning figure, because it is the one the India missions print. The same checklist adds the accommodation cost from your dormitory certificate and PLN 2,500 for return travel to the country of origin or residence.
The formula has three parts, and the certificate supplies the middle one:
- Living expenses: the monthly figure multiplied by the months of the planned stay.
- Accommodation: the monthly dormitory fee multiplied by the same months, plus any deposit.
- Return travel: the fixed minimum the checklist names.
The India checklist accepts traveller's cheques, a certificate of the credit card limit, a certificate of available funds from a bank or cooperative savings and loan association in Poland, another EU or EFTA state or Switzerland, a document confirming a national or foreign scholarship, or a notarized letter from a sponsor who takes on all travel, living and accommodation costs, with the sponsor's employment and salary evidence. It states that no other documents will be taken into consideration.
Read the bank line carefully: on the India checklist a balance certificate has to come from a bank located in Poland, another EU or EFTA state, or Switzerland. A plain statement from an Indian bank is not one of the listed instruments, so check which banks your own mission accepts before ordering paperwork.
Match the proof to the story the certificate tells. If a scholarship covers the dormitory, the scholarship letters should say so, and the certificate should still show the fee. If a sponsor pays, the sponsor's letter and the financial evidence should cover the same months as the placement.
Timing is the quiet trap. Missions expect recent financial documents, so check how old your mission allows them to be. Get the dormitory certificate final first, then order the bank letter, so the amount you are proving already includes the right accommodation fee.
Sufficient funds do not mean the cheapest figure that passes. Real spending on food, transport, and a phone plan can exceed the minimum, and the checklist figure is a floor, so keep a margin to cover living expenses beyond it.
The Poland student visa cost is the first outlay, followed by tuition fees where they apply, the dormitory fee, and medical insurance for the stay.
Some applicants hold the money in one bank account and the sponsor's support in another. Say so in the covering letter, and attach the financial support documents together so the consul reads one picture, not two.
If a scholarship covers the dormitory and travel, the awarding body's letter is the funds instrument, and our guide to a flight reservation when a scholarship pays shows how to keep the travel dates consistent with what the award covers.
What Does a Mismatched Dormitory Certificate Look Like in a Worked Case?
This case is fictional. Daniel Foster lives in Mumbai and has been admitted to a first-year computer science program taught in English at a Polish public university. His passport reads Daniel James Foster. He plans to lodge his file in June 2027 and fly in late September.
His admission certificate states studies from 1 October 2027 to 30 September 2028, with orientation week starting 27 September 2027. The international office sends a dormitory certificate. Read side by side with the rest of his file, it fails four checks.
The address and room are present: a street address and room 214 in a double room, so those two details need no correction.
Daniel's budget shows why the fee and period matter. Using the checklist figure, living expenses are PLN 1,010 times 12 months, which is PLN 12,120. The corrected certificate adds PLN 780 times 12 months, which is PLN 9,360. Return travel adds PLN 2,500. The total his funds must show is PLN 23,980.
The draft certificate would have broken that sum twice. An unstated fee gives the consul nothing to add, and a placement that ends in January leaves eight months of the stay with no accommodation on paper. If his mission prints a different monthly figure, the total changes accordingly.
Daniel emails the international office with the four corrections in one message, asks for the certificate on letterhead with an authorized signature, and waits for the corrected original. Only then does he ask his bank for the funds letter, so the letter reflects PLN 780 a month.
His date chain now reads in order. The admission certificate runs from 1 October 2027 to 30 September 2028. The dormitory certificate runs from 24 September 2027 to 30 September 2028. His insurance covers the entire duration of the visa, and his funds cover 12 months.
His mission's checklist lists a one-way flight reservation, so the flight should land within the corrected dormitory dates, on or after 24 September 2027. Some applicants call this a dummy ticket; what the checklist asks for is a reservation only, and a BookForVisa flight reservation gives Daniel a real PNR for a flat $15 per person, valid 48-72 hours, without buying a fare before the visa. He orders it close to the appointment, after the certificate is final.
Other international students can run the same four-line comparison before they lodge. Most of the work is reading one document against another, and it goes faster when the dates are written out in one list.
What Should You Ask the University to Correct, and What Should You Leave Alone?
Corrections belong to the issuer. Never retype a date, a fee, or a name on the certificate yourself, because the consulate expects an original from the university, and an altered original can end an otherwise clean file.
Before you write to the international office, mark each line below against your draft:
- Name spelled exactly as in the passport, including middle names.
- Start date on or before the arrival date, end date after the course ends.
- One monthly fee in PLN, plus any deposit, with the period it covers.
- Exact street address and the allocated room details.
- Official letterhead and an authorized signature on the original.
- A language the mission accepts, which is Polish or English.
- An issue date recent enough for the day you will lodge.
Then put three questions to the university. Is the placement confirmed for the full course, or for a first term that will be renewed? Does the fee on the certificate include utilities, or do those arrive as a separate cost? Can the original be couriered, or does it have to be collected?
Put two questions to the mission. Does its checklist want the first year or the intended period of stay? Which supporting documents does it want shown with the certificate, and are additional documents accepted after lodging? The answers decide whether a one-year placement is enough.
Some limits are worth knowing. A certificate does not replace funds, admission or insurance, and it is not a promise of a visa. If the university can only confirm a place after the visa is issued, a lease with the monthly rent shown is the alternative the checklist names, so ask early.
Hotel bookings are not interchangeable with a certificate everywhere. Mission lists word the housing line differently; the India study checklist asks for original documents such as a lease agreement or a dormitory decision. Read your mission's line before you rely on either.
Last, keep a dated copy of the final version you lodged. If the consulate asks for supplementary papers, you can match them to what it already holds, and the visa conditions you accepted will not drift away from your file.
How Should the One-Way Arrival Date Fit the Dormitory Dates?
The arrival date on your reservation should fall on or after the placement start and before the first class, and it should match the start of your insurance. A one-way plan suits a degree, because the stay has no fixed return date and may continue on a residence permit.
| Document | Date it carries | Rule of thumb |
|---|---|---|
| Admission certificate | Course start and end | The anchor; the university sets it |
| Dormitory certificate | Placement start and end | Starts a few days before the first class, ends after the course |
| Insurance certificate | Cover start and end | Starts on the arrival date, runs for the whole stay |
| One-way flight reservation | Arrival date | On or after the placement start, before the first class |
| Funds instrument | Months covered | Same months as the placement and the stay |
