Short answer: For Japan’s Engineer/Specialist in Humanities/International Services route, the employer’s role and COE come before the visa application; the proposed arrival should agree with the employment start and the validity of the issued documents. Japan’s general working-visa list does not itself require a flight reservation. A flight reservation for visa is a conditional planning document only if the mission handling your file asks for it—never a substitute for a COE or a paid ticket when expressly required.
This guide is for an employer-sponsored professional, not a student or short-stay visitor. It separates the job-duties evidence from visa-stage flight planning and uses a document-to-date worksheet so HR and the applicant can reconcile changes before buying airfare.
Key facts
- The official status is Engineer/Specialist in Humanities/International Services; the job title alone does not establish eligibility.
- The employer or other authorized proxy handles the COE stage in Japan; the applicant uses the issued COE for the visa stage.
- A proposed arrival date should fit the actual COE, visa, employment start and housing dates.
- Check the current mission checklist before preparing flight proof; do not assume a reservation is mandatory.

Official-source check: Japan’s working-visa guidance lists the passport, application, photo and COE as core documents and says requirements can vary by nationality. The Embassy of Japan in India explains current VFS filing and processing for the Delhi example. Confirm the applicable mission and checklist before filing.

Which Japan Work Status Does the Engineer Visa Actually Mean?
Searchers call it the Engineer visa, or just a Japanese work visa, but the official status has a longer name. The Immigration Services Agency lists it as Engineer/Specialist in Humanities/International Services, written in Japanese as 技術・人文知識・国際業務. One status covers three kinds of work, and the activity your employer describes on the form matters more than the nickname.
The agency's status page describes the activity as work done under a contract with a public or private organization in Japan. The work must need specialist knowledge or technology from the natural sciences, such as science and engineering, or from the humanities, such as law, economics, and sociology.
The third option is work that needs thinking or sensitivity grounded in a foreign culture.
The Three Strands of Work
The first strand covers technical roles. Software developer, backend engineer, network engineer, and systems analyst roles fit here when the daily duties rest on natural-science or information-processing knowledge. The agency's own example is a mechanical engineer. Our reading is that an IT engineer job qualifies when the work is engineering, not help-desk support or data entry. Japan has 29 types of work visas available. The Engineer visa allows stays of 1, 3, or 5 years. The Engineer visa covers specialized office-based work.
The second strand is humanities work: planning, marketing, accounting, business administration, and legal or economic analysis. The agency names marketing staff as an example. To obtain an Engineer/Specialist in Humanities visa for Japan, secure a job offer. The visa is sponsored by a Japanese employer. The COE application form's field-of-study list includes business administration beside law, economics, and sociology. The Highly Skilled Professional visa was established in 2015. The HSP visa requires at least 70 points for eligibility.
The third strand, international services, needs cultural sensitivity tied to a foreign country. The landing criteria list translation, interpretation, language instruction, public relations, advertising, overseas transactions, fashion or interior design, and product development. Overseas trade work is the closest match for anyone whose job is international trade.
Why the Name Matters Less Than the Duties
Job title does not decide the category. On the COE form, the employer picks a main occupation from a numbered list and then writes the details of the activities in a free field. For this status the list allows numbers 2 to 18, 24 to 31, 51 to 54, and 999.
The details field is where actual job duties get tested. Duties that require knowledge from your own field of study read well.
A title such as "Engineer" over a job of moving boxes will fail, and a plain title over real design work can pass. Write specific duties, hours, tools, and reporting lines, and keep them identical in the employment contract and every other document.
Who This Guide Is Written For
We write for a foreign national who is outside Japan, holds an offer from a Japanese company, and has no Japanese residence status yet. The worked example later uses a fictional applicant in Delhi. Nationality, country of residence, and handling mission are three separate facts, and each can change small details such as photo size or counter procedure. Japanese visa applications can be submitted up to 3 months before the intended travel date. Applications for the Engineer visa can be made before graduation as well.
We leave out changing status from inside Japan, renewals, the Highly Skilled Professional route, intra-company transfers, and family stays. Each of those gets a short summary near the end, not a full treatment. Renewals are accepted three months before expiration. Language proficiency proof may be required for some renewals.
What the Visa Does and Does Not Give You
MOFA's visa page states that a visa is one requirement for entering Japan and does not guarantee entry. An immigration officer grants landing permission at the port of entry, and the status of residence appears on that permission. Some guides call the result a temporary residence permit, but the agency's term is status of residence.
The application form repeats the warning above the signature line.
The agency's status page lists the possible periods of stay as five years, three years, one year, or three months. The officer sets the period at landing, not the mission. A friend's five-year result says nothing about yours, so do not plan family finances around a period you have not been granted.
Checking That the Category Is Still Current
On October 22, 2026, the agency's status page carried two recent notices. For applications filed from April 15, 2026, employers in categories three and four must add extra papers. A July 13, 2026 update covers workers who will be dispatched to client sites. MOFA's long-term stay page, dated January 22, 2026, still lists the status among work visas.
Read both pages again on the day your employer files. This route changed more than once in 2026, and a checklist saved in spring may already be stale.
Who Files What Between You, Your Employer, and the Embassy?
Two offices decide two different questions, and they do not share a verdict. The agency decides whether the planned work fits the status. The mission decides whether the visa can be issued. MOFA's FAQ says the mission does not re-examine whether the status applies, and checks things such as identity and passport validity instead.
The Certificate of Eligibility Stage
The Certificate of Eligibility is filed in Japan, not by you. The Embassy of Japan in India says a proxy in Japan applies at the regional immigration bureau (officially a Regional Immigration Services Bureau) nearest the proxy's home. The page adds that the certificate cannot be applied for at the Ministry of Foreign Affairs.
The COE form says a proxy can be an employee of the organization that will employ you, or a relative of yours living in Japan. In practice the employer's HR or legal team files. Anyone other than the applicant must show an identity document, such as a company ID card, when submitting.
The form has four parts. Applicant part one covers identity, passport, purpose of entry, and the proposed date and port of entry. Applicant part two covers the workplace, education, field of study, work history, and any information-processing qualification. The affiliated organization completes two more sheets.
Paper Filing and the Online System
The agency runs an online residence application system alongside paper filing. Its status page connects the system to employer category: an organization approved to use it can ask for category two treatment, if it submits the category review papers first. Your employer's immigration contact will know whether the company holds that approval.
For you, the channel changes little. The same facts go into the same fields. What changes is who sees drafts, and an online file can be corrected faster than a posted one. Ask HR which channel they use so you know where your signed pages will travel.
Who Writes Which Field
You supply your own history. Your employer supplies everything about the company and the job. Mixing these up causes more rewrites than any other filing error, so agree on who owns each field before drafting.
-
Yours: name as shown in the passport, passport number and expiry, home address, date and port of entry, intended length of stay, past entries, criminal and deportation history, relatives in Japan, education, major field, and work history
-
The employer's: contract type, corporate number, employment insurance office number, business type, capital, annual sales, employee count, period of work, employment start date, pre-tax salary, years of experience, position, occupation number, and details of activities
-
Also the employer's: the dispatch sheet, which must be submitted even when nothing applies to you
The Visa Stage
For applicants in India, the visa application goes through VFS Global centers. VFS states that it handles only non-judgmental processing, and the decision belongs to the Japanese embassy or consulate. Indian applicants therefore deal with VFS at the counter and with the mission only through whatever the mission asks for afterward.
You file one visa application form, signed by you, and attach the certificate. We found no page asking for two visa application forms on this route.
MOFA's visa page says inviting organizations send their documents to the applicant, not to the mission. If a checklist you hold says otherwise, check whether it is for a different visa type, such as a short-term business visit.
How the Two Stages Check Each Other
The certificate is not a visa. MOFA's FAQ says the Ministry of Justice certifies that the activity is not fraudulent and qualifies for a status under the Immigration Control Act. It does not guarantee the visa. If the mission finds the certificate rested on mistaken or false information, it will not issue the visa.
The link between stages is data. The visa form asks for the certificate number, the purpose of visit, the date of arrival, the port, and the intended length of stay. If those entries disagree with the certificate your employer filed, the mismatch lands on your desk, not theirs.
When Someone Else Signs
The agency form requires the applicant or proxy to sign and write the date by hand. If anything in the form changes after drafting and before filing, the signer must correct the entry and sign again. Treat that rule as a version-control rule: one agreed final copy, circulated to everyone.
The agency's page also asks, where possible, for a copy of the passport at filing. The reason given is name spelling. If the name on the certificate differs from the passport, checks along the route can slow down, so supply the copy and spell the name exactly as the passport shows.
Which Documents Are Required, Conditional, or Only Supporting?
Start with the employer, because its category sets your paper load. The agency sorts affiliated organizations into four categories.
Category one covers listed companies, public bodies, and similar institutions. Category two covers organizations whose withholding tax on salaries was ¥10 million or more last year. Category three covers other organizations that filed a statutory payment summary. Category four covers everyone else.
For categories one to three, the agency says other papers are generally unnecessary once the category is proven, though category three gained new items in April 2026. Category four carries the full load, including papers about the job, your background, and the company itself.
Ask HR for the category before you gather anything, and ask whether the company has hired foreign employees before.

The table below sorts the necessary documents into what is required, what depends on your facts, and what only supports the file. Sources are named in plain text, since official pages change and we do not want to freeze a link.

Reading the Role Column
Required means the agency or MOFA states it for everyone in that situation. Conditional means a fact about your job, your employer, or your language skills triggers it. Supporting means the mission may ask for it, and VFS tells applicants to bring it up front to avoid a second request.
Notice the last row. We found no flight reservation or ticket on the agency's status page, MOFA's visa page, the Embassy of Japan in India's long-term page, or the Delhi VFS checklist. That is a statement about those pages on the day we read them. It is not a promise that no mission will ever ask.
How Employer Category Changes Your Pile
A listed company in category one usually needs to send only proof that it is listed, such as a company handbook page. The same light load applies to category two. You still need your own papers for the visa stage, but the employer's burden at the agency is small.
A small startup in category four hands over a registry certificate, a business overview, financial statements, and a signed declaration about its representative. For a brand-new company with no accounts yet, the agency asks for a business plan instead. The business plan and the working-conditions document are where weak files tend to fail.
Dispatch Work
If you will work for a client company while employed by a staffing firm, the file grows. The agency lists a pledge from the dispatching organization and another from the client, both on reference forms. It also asks for copies of your working-conditions document and the individual dispatch contract.
The agency's page carries a July 13, 2026 update on how dispatch cases are handled. We read the list of papers but not the full update, so ask HR whether it changes what your employer must send. A dispatch arrangement also affects which site appears in the dispatch sheet of the form.
The Language Evidence Rule
The April 2026 notice adds a language requirement for some applicants. If the job mainly uses language skills in dealings with other people, such as interpreting or hotel front-desk work, the file needs proof of B2-level ability in the working language.
The agency's examples include JLPT N2 or above, a BJT business-Japanese score of 400 or higher, and 525 or more on the JPT. Certain Japanese-university exam scores also count.
The notice also treats several backgrounds as proof of Japanese ability: graduating from a Japanese university, finishing compulsory education and high school in Japan, or twenty years of residence. For a back-end developer working in English, the rule normally never applies. For a translator, it decides the file.
Dating, Translating, and Returning Papers
Certificates issued in Japan must be dated within three months of filing. Papers in another language need a Japanese translation. The agency says it generally does not return submitted materials, so if an original is hard to replace, ask for its return when you file.
The agency also warns that incomplete files may be heavily delayed or penalized, and that it can request papers not on its list. Treat the published list as the minimum, and ask HR whether other documents are worth adding.
Does Your Degree or Experience Match the Job Closely Enough?
Three tests sit in the agency's landing criteria, and a file has to pass every one that applies to the job. The first test is about your academic background and training. The second applies only to international-services work. The third is about pay. We take them in that order, because the weakest one decides the outcome.
The Training Test for Technical and Humanities Work
For technical and humanities jobs, the criteria accept one of three backgrounds. The first is a university degree related to the work, or education of an equivalent level.
The second is completing a Japanese vocational school course in a related subject, where the course meets conditions the Minister of Justice sets by notice. The third is ten years of relevant professional experience.
The ten years can include time spent studying a related subject at a university, college of technology, high school, or vocational school. That wording rewards people whose degree is only loosely related. A mechanical-engineering graduate moving into factory planning can usually count both the study years and the work years.
If your diploma comes from a junior college, ask HR to confirm with the agency whether it counts as a related degree, since the criteria name a university degree.
The IT Exam Exception
Information-processing jobs get an extra route. If you pass an exam, or hold a qualification, that the Minister has designated for information processing, the degree and experience tests do not apply. The COE form has a dedicated field for that qualification, and the agency's checklist asks for the certificate.
For applicants from India, the status page also names DOEACC certificates at level A, B, or C as accepted evidence beside degree certificates. A software developer without a computer-science degree should check whether a DOEACC certificate or a designated exam is in the drawer before assuming the ten-year route.
Vocational School Graduates
A Japanese vocational school graduate has a paper trail of its own. The agency's status page lists, for every category, a document proving the title Specialist or Advanced Specialist, or proof of completing an advanced course at the school. Graduates of a program certified under the career-formation program for international students add the program's completion certificate.
This item matters for two reasons. It replaces a university degree in the training test, and the page says the separate IT qualification certificate is unnecessary once you submit it. Someone fresh from a Japanese vocational school who applied for a software job and skipped this paper would be handing over the wrong proof.
The Experience Test for International Services
International-services work has its own rule. The job must be of the kind listed earlier, such as translation, interpretation, language instruction, or overseas trade. The applicant must also have at least three years of related practical experience, with one exception.
A university graduate doing translation, interpretation, or language instruction does not need the three years. Everyone else does, and the agency asks for a document proving the experience. A fashion or interior designer without a degree should expect to prove three years of design work with employer letters that name duties and dates.
The Pay Test
The third test says the pay must equal or exceed what a Japanese person would receive for the same work. The COE form asks for pre-tax pay and says commuting, housing, and dependent allowances do not count. A package that reaches a headline figure only through allowances can fail this test even when the offer looks generous.
The form also asks for the years of business experience and the position title. Keep these consistent with your CV. An offer to a candidate with two years of experience at a salary that implies ten invites questions, and so does the reverse.
Matching Papers to Each Claim
Each claim needs one of the documents proving it. Your degree needs a certificate. Your years of work need employment certificates that give the employer, the duties, and the dates. A designated IT qualification needs its certificate. A language claim needs a score report or one of the backgrounds the agency treats as equivalent.
Transcripts help when the degree title is vague, because they show relevant subjects. The VFS Delhi checklist asks for an educational certificate from your last school or university and an experience certificate at the visa stage, so the same papers get reused. Keep one clean set, translated where needed.
A Worked Mismatch
Take a fictional applicant with a business-administration degree who is offered a software engineering job writing backend code. The degree is not related to the technical work, and no designated IT exam is in the file. Under the criteria, the file needs ten years of related practice, or a designated qualification.
The employer can still move the offer into a role that fits, such as business analysis, if the duties really are analytical. Changing the label alone does not help, because the actual duties are what the agency reads. Fix the job or fix the evidence before filing, not after the refusal.
Where Does the Employer Start Date Come From, and What Does It Prove?
Look at where dates live on the forms. The employer fills the start date of employment on its sheet of the COE application. You fill the proposed date of entry, the port of entry, and the intended length of stay on yours. Those are the only forward-looking dates on the agency form, and the whole timeline hangs from them.
What Each Date Field Actually Says
The start date is a commitment by the employer: the day the contract begins and the first day of the proposed employment.
The date of entry is your plan: the day you expect to land. The agency form does not ask for a flight number. The MOFA visa form asks for the date of arrival, the port of entry, and the name of the ship or airline.
A reasonable file therefore has an entry date that falls before the start date, with room for the steps in between. We cannot find an official rule fixing the size of that gap. Our recommendation is to plan for at least ten to fourteen days, for reasons covered below.
The Two Three-Month Clocks
Two separate clocks run in this process, and both are three months. The Certificate of Eligibility is valid for three months from its issue date, according to the Embassy of Japan in Sweden's page on the certificate. That page adds that if the certificate has expired when you enter Japan, the visa is invalid and entry will be refused.
The visa runs its own clock. MOFA's page on visa validity says a single-entry visa is valid for three months, and MOFA's FAQ tells applicants to enter within three months of issue. Because the certificate is issued first, its clock starts first, and it will usually expire before the visa does.
Why the Earlier Clock Wins
Say the certificate is issued on December 15 and the visa on December 30. The visa then runs to late March, but the certificate runs out in mid-March. The real deadline is the earlier one. Plan arrival against the certificate date, not the visa sticker.
The Immigration Services Agency extended certificate validity during the pandemic, then ended that arrangement. Older blogs still mention six months, and that figure no longer applies to certificates issued from August 2022. If anyone quotes you six months, ask them to show the dated notice.
How Early Is Too Early to Arrive
Arriving long before the start date has practical costs: housing, living expenses, and weeks without salary. We found no official rule capping how early you may land, so the limit is your budget and your employer's willingness to help with housing.
Arriving too late is the bigger risk. If the entry date slides past the start date, the employer has an empty desk. If it slides past the certificate's expiry, the employer must apply again, and the Embassy of Japan in Sweden's page puts certificate processing at one to three months.
What You Do After Landing
The agency's page on residence notification gives a clear deadline. A new long-term resident must notify the municipal office within 14 days of deciding where to live. Presenting a residence card, or a passport noted to receive the card later, at the municipal counter counts as the notification.
The deadline is why the buffer matters. Address registration follows landing and cannot start from abroad. Ten to fourteen days of cushion before the start date keeps the first week of work from being spent in municipal queues. Ask HR when health insurance and social insurance enrollment happens and what they need from you.
Fixing the Entry Date Before Filing
Because the entry date appears on the COE form and again on the visa form, pick it before the employer files. Agree on it with HR in writing. If the date moves after the certificate is issued but stays inside the validity window, the certificate remains usable. If it moves past the window, start the certificate again.
Our reading, which the sources do not state outright, is that a modest shift in the proposed date within the window does not make the certificate unusable, since it certifies eligibility and not a flight. Confirm with the mission if the shift is large or the reason is unusual.
What Are the Stages From Job Offer to Landing in Japan?
Seven stages separate an accepted offer from landing, and your employer carries the middle ones. The table lists each stage of the visa process with the time the official pages state. Where a page gives no time, the cell says so, and we do not fill the gap with a guess.

Before the Certificate Is Filed
Stages one and two decide how smooth the rest of the application process will be. Confirm the category, the occupation number, the duties, the salary, and the entry date in one shared document. Everyone who later signs a form should be reading the same text.
Do not buy anything yet. The forms ask for dates, not tickets, and nothing in stages one to four needs a seat on a plane. A ticket bought now locks money to a date the certificate may not support.
The Wait for the Certificate
The Embassy of Japan in Sweden's certificate page says processing takes between one and three months, so the employer should file as soon as the file is complete.
The embassy page also says the sponsor in Japan applies, and the mission takes no part. MOFA's processing page adds that a visa application without a certificate typically takes one to three months, so skipping the certificate saves nothing.
Since March 17, 2023, a certificate can reach you by email, according to MOFA's FAQ. You can present the email when you apply for the visa, or a printed copy. Paper certificates can also be submitted as printed copies. The Delhi VFS checklist accepts an original, a copy, or a printed email version.
The Visa Appointment
Apply in your country or place of residence. MOFA's FAQ says you cannot apply at a travel destination. It also lists reasons an application may not be accepted: a certificate application still pending, a passport with too little validity or space, and errors or omissions in the documents.
For Indian applicants, VFS Global takes the application at its centers, and the embassy or a consulate decides. MOFA gives five working days from the day after acceptance when nothing is wrong. The Embassy of Japan in India's long-term page gives a four-working-day minimum. It is undated, so treat both as best cases, not promises.
If the Mission Asks for More
The FAQ says extra papers, an interview, or inquiries can push processing from five working days to anywhere between a couple of weeks and several months. A visa application that goes to Tokyo for further examination can take over a month, according to MOFA's processing page.
The FAQ also says the mission does not tell you the reason for a refusal.
After a refusal, the mission does not accept a new application for the same purpose for six months. It sometimes makes an exception when circumstances have changed significantly and travel is necessary for humanitarian reasons. No visa fee is charged if no visa is issued, according to MOFA's fees page.
The Decision to Travel
Once the visa is in your passport, you hold a date range: your employer's start date, the certificate's expiry, and the visa's expiry. Choose arrival inside all three, with the cushion from the previous section. This is the first stage where a ticket, as opposed to a reservation, makes sense.
Our judgment is to buy the ticket only after the visa is issued and the entry date is settled. Before that, the dates are plans, and a plan can move. The next discussion covers what a flight reservation does and does not do during stages one to six.
Landing and After
At the airport, the officer decides on landing permission and the status of residence. MOFA's FAQ gives a concrete example of refusal: a traveler who cannot properly explain to the officer the activities planned in Japan. Our advice is to carry the certificate, your contract, and the employer's contact details in hand baggage, not checked luggage.
Within 14 days of fixing your address, notify the municipal office with your residence card. The agency's page says the notice is free of charge.
A later change of affiliated organization is a separate notification to the agency. A job change into a category three or four employer also adds extra papers at your first renewal, according to the agency's status page.
Does This Route Need a Flight Reservation, and Where Would One Fit?
Not according to the pages we read. The agency's status page, MOFA's visa page, the Embassy of Japan in India's long-term page, and the Delhi VFS checklist do not list a flight reservation or a ticket for this route. Those pages ask for the certificate, your forms, passport, photo, and background papers. A reservation is optional and supporting at most.
What the Forms Do Ask About Travel
The MOFA visa form has three travel fields: the date of arrival in Japan, the port of entry, and the name of the ship or airline. It also asks for the intended length of stay and the certificate number. The agency's own form asks for the date of entry and the port of entry.
None of the pages we read says whether the airline field may stay blank, or what the counter does with an entry. Ask the VFS counter at your center, or the mission, before you decide. If you do fill in an airline, the plan behind it should be the one your employer has agreed.
Three Ways Applicants End Up Needing One
The first case is planning. Your employer's HR team may want a proposed route and date to schedule housing and onboarding. A reservation shows a route and dates, and nothing more, so it works as a planning aid and not as an immigration document.
The second case is timing pressure. If the visa will be issued close to the certificate's expiry, a held route lets everyone see the deadline against a concrete date. The third case is a relocation package where the employer buys the ticket. There, the employer's ticket replaces any reservation you would arrange.
What a Reservation Does Not Prove
Keep three evidence types apart. A reservation is a planned booking. An issued ticket is a paid seat with a ticket number. Landing permission is the officer's decision at the port of entry, and MOFA's FAQ is explicit that a visa does not guarantee it.
No flight document touches the employment test. The certificate says the work fits the status. Nothing about a seat on a plane changes whether your degree matches your duties or your salary meets the pay test. If anyone tells you a booking will strengthen the qualifications file, ask which official page says so.
Where Our Product Fits, and Where It Does Not
For readers who want dates on paper before buying, our flight reservation for visa service gives a verifiable PNR, unlimited changes, and an instant PDF download for $15, and it is a reservation, not an issued ticket. We do not claim any embassy, airline, or border officer will check or accept it.
For this route, a reservation of any kind is useful only in the planning cases above. If your employer will buy a ticket, or the counter staff confirm the airline field can wait, you do not need one. We would rather say so than manufacture a need.
The Ticket Decision, Briefly
Buying a paid ticket before the visa is issued exposes you to the one risk in this process that you cannot control: the mission's timing. MOFA's FAQ says processing can stretch from five working days to several months when extra checks apply. A non-refundable seat bought in week one can be a loss by week six.
We recommend waiting for the visa, then buying once the entry date sits inside the certificate window. If your employer insists on earlier ticketing, ask for refundable fare terms in writing. Airline hold rules and onward-ticket rules at borders are separate topics that this guide does not cover.
Dates a Reservation Must Match
If you do create a reservation, it must agree with three things. The arrival date must fall before the employer start date, with the cushion discussed earlier. The arrival date must fall inside the certificate's three-month validity. The port in the reservation should match the port on the visa form.
An arrival date that sits after the employer start date, or past the certificate's expiry, is a contradiction on its face. No source says how a counter handles that kind of mismatch, and we would not test it. Fix the date first, then generate the paper.
What Does a Document-to-Date Worksheet Look Like for One Applicant?
The worksheet below follows one invented applicant. Daniel Foster lives in Delhi, holds a computer-science degree, and has six years of backend experience. A fictional Tokyo company, Harborlight Systems K.K., has offered him a job. Every name, date, and amount is made up for illustration, and the dates were chosen to make the arithmetic visible.
Each row ties one field to the official page that defines it, and names the other document that must agree. Occupation numbers come from the list attached to the agency's form, so check the current edition. Use the structure for your own file, and replace our values with yours.

Reading the Date Chain
Start with the certificate. Filed on November 16, issued on December 15, 29 days later, which sits inside the one-to-three-month range the Sweden mission page gives. Its three-month window ends around March 15, 2027, and the printed date on the certificate is the one that counts.
Daniel applies at VFS six days after issue, on December 21. The visa is assumed to arrive on December 30. His three-month visa limit would run to about March 30, but the certificate's earlier date is the real ceiling. His planned arrival, January 16, sits 17 days after the visa and 58 days inside the certificate window.
Why January 16 Works
The entry date falls 16 days before the February 1 start date. That leaves room for the 14-day residence notification, which would fall due on January 30 if he fixes an address on landing. January 30 is a Saturday, and the agency says the office receives notices during its own working hours, so Friday, January 29 is the safer target.
The cushion also absorbs a delay. If the visa slipped by a week, he would still land before the start date. The margin is not a rule from any source. It is our planning recommendation, and the earlier discussion explains the reasoning.
Worked Failure One: A Start Date That Disagrees
Suppose Harborlight's HR typed January 11 on the organization sheet, copied from an older draft, while the contract says February 1. The agency form and the contract now disagree. Neither is wrong on its face, which is why the error survives until someone cross-checks.
The fix is cheap before filing. The agency's form requires the signer to correct and sign any changed entry before submission. After filing, it becomes a correction request, and we would expect delay. Run the date column of the worksheet against the contract before anyone signs.
Worked Failure Two: An Appointment That Slips
Suppose the first VFS slot Daniel can get is Monday, February 22, 2027, because the certificate arrived during a busy week. That date is already 21 days after the employer start date, and only 21 days before the certificate expires. The visa would still need its examination period, and the clock is nearly out.
In that scenario, the employer should be told on the day the slot is known. The start date may need to move, and if the certificate cannot be used in time, a new one is required. Booking the appointment as soon as the certificate arrives is the cheapest protection in the whole process.
Using the Worksheet for Your Own File
Copy the first column and fill in your values. For each field, find the page named in the fourth column on the day you file, and write the date you checked it. A worksheet with a source and a date beside each line is easy to review and hard to get wrong silently.
Then read down the last column. Every field should agree with the document named there. If two documents give different spellings, dates, or duties, fix the source document first and the forms second.
Where Do the Documents Disagree With Each Other, and How Do You Fix It?
Most delays on this route come from files that contradict themselves, not from applicants who fail the criteria. The agency form, the contract, the CV, the passport, and the visa form each repeat some of the same facts.
We list the common disagreements between application documents by how early you can catch them. Treat consistency as part of legal compliance for both sides, since each signer stands behind the forms.
Name Spelling
The agency's status page says that when the name on the certificate differs from the passport, procedures along the way may take extra time. It asks applicants to attach a passport copy at filing when possible. MOFA's form tells you to enter the name as shown in the passport.
Check four places: the passport bio page, the degree certificate, the employment letters, and the contract. If the degree spells a middle name differently, keep the passport version on the forms and bring an explanation. Do not alter an issued paper to match another.
Job Title Versus Real Duties
A contract headed "Systems Engineer" that lists mostly call-center work will not match the occupation number your employer chose. In our reading, the agency judges the activity described, so the title offers no protection. The same mismatch appears when the CV lists data-entry roles but the offer describes architecture.
The fix is on the employer's side: describe what you will do each week, name tools and deliverables, and keep one text for the contract, the form, and any cover letter. If the duties truly differ from the title, change the title.
Qualification and Duties
A degree in a different field from the job needs the ten-year route or a designated IT qualification, as covered earlier. Applicants sometimes assume a degree of any kind satisfies the training test. The criteria require a subject related to the work, so the file must show the link.
If the link is thin, add subject transcripts and employer letters that show related work. If the link does not exist, raise it with HR before filing. A file filed on the hope that nobody checks is the most expensive kind.
Documents That Are Too Old
The agency requires Japan-issued certificates to be dated within three months of filing. A registry certificate pulled in August for a November filing fails that rule. The agency's page notes the registry certificate can be requested online, so the employer can refresh it without a counter visit.
Foreign papers carry no such date rule on the status page, but they must come with Japanese translations. Our advice is to translate everything on the page, including seals and handwritten notes, so the translation mirrors the original.
Certificate Data Versus Visa Form Data
Three entries repeat between the two stages: the proposed arrival date, the port of entry, and the intended length of stay. The visa form also asks for the certificate number. A typo in that number is a small error with a large consequence, because the form and the certificate are read together.
Read the certificate itself, not the employer's draft. Copy the number from the issued email or paper into the visa form character by character, then have a second person read both aloud.
Expired or Nearly Expired Certificate
The certificate's three months start at issue. If processing at the mission pushes you past that date, the visa and the certificate are both useless for entry, according to the Sweden mission page. Count backward from the certificate's expiry when you book the VFS appointment.
When the margin is under a month, tell the employer immediately. They can decide whether to file a fresh certificate now or wait to see how fast the mission moves. Waiting is a gamble with someone else's start date.
Changes After Signing
If anything changes after the forms are signed but before filing, the signer corrects the entry and signs again, according to the agency's form. The same discipline helps at the visa stage. A new employer name, a changed salary, or a moved start date means the earlier certificate may describe a different job.
MOFA's FAQ says a visa will not be issued if the certificate rested on mistaken or false information. A change of job after the certificate is issued is exactly the situation to ask the mission about before you file, not after.
What a Counter Cannot Fix
VFS staff can check that your papers are in order and in sequence. They cannot decide whether your duties fit the status, and they cannot extend a certificate. The decision belongs to the mission and to the agency, and VFS is clear that it plays no role in judging.
Use the counter for what it does well: completeness, format, and the order of papers. Keep the substance questions for your employer's immigration contact.
Which Neighboring Tasks Belong in Other Guides?
This guide stops at landing and the first residence notice. Five neighboring tasks touch the same people, and each deserves its own treatment. We summarize them here so you can tell which one you are actually facing.
A Short Visit Instead of a Job
MOFA defines a short stay as up to 90 days for tourism, business, or visiting relatives, without paid work. That is a different visa with a different checklist, and no Certificate of Eligibility.
If you are visiting Japan before the job starts, for a look at neighborhoods or a meeting, read our flight reservation for visa guide for that separate route.
Do not mix the two. A short-stay visa does not permit paid work, and MOFA says people who plan to work for pay should, in principle, obtain the certificate first.
Family Members
MOFA lists a dependent visa for the spouse and children of someone holding a working status. Family members apply for that status themselves, with their own documents and their own entry date. They are not covered by your certificate. Spouses on a family stay visa can work part-time up to 28 hours weekly. Children include both biological and adopted children, regardless of age. Parents may accompany under HSP visa if they assist with childcare.
Their arrival date can differ from yours. The planning questions about dates and certificate expiry apply to them as well, and a separate worksheet is sensible. Their document list is a task of its own, and we do not reproduce it here.
Changing Status From Inside Japan
International students and other residents already in Japan skip the mission stage. They apply to the immigration bureau for a change of status, and there is no visa stage and no arrival date. The agency's status page gives a separate document table for this case.
Graduates and expected graduates of Japanese universities get special treatment in the category tables. A student visa holder who has accepted an offer before graduating can file while still in current student status, according to the page's change-of-status section. The full steps are their own task.
Renewals and Job Changes
Renewal is a separate application with its own list, including tax and income certificates from your municipality. The agency's page also says a first renewal after moving to a category three or four employer needs extra papers about the new job. If you change employer, you must also notify the agency.
Those steps happen after arrival and rest on facts that do not exist yet when you land, so we leave them out of this guide.
Highly Skilled and Permanent Routes
The Highly Skilled Professional route uses a points system, and MOFA lists it as a separate visa type. Permanent residence, also called permanent residency, is a long-term status with its own conditions, fees, and years of residence. Permanent residency typically requires 10 years of residence in Japan. Having 70+ points can reduce residency requirement to 3 years. 80+ points can reduce residency requirement to just 1 year. Permanent residency application fee is ¥200,000 from October 2026. Good conduct and financial stability are required for permanent residency.
If your employer says your profile might qualify under the points route, ask them to compare the two routes in writing before filing. The paper load, the dates, and the arrival plan differ.
What Should You Check One Last Time Before Anyone Files or Books?
Run this check twice: once before your employer files the certificate application, and again before your visa appointment. The first pass catches content errors. The second catches date errors that appeared in between. The key points below are the ones that most often go wrong.
Employer Side
Confirm the following documents and facts before filing:
-
Category confirmed in writing, with the proof the agency names for that category
-
One text for duties, used in the contract, the form, and any cover letter
-
Occupation number chosen from the current list attached to the form
-
Pay stated before tax, with allowances excluded, and at or above comparable Japanese pay
-
Start date identical in the offer, the contract, and the organization sheet
-
For categories three and four, the declaration about the representative added, as the April 15, 2026 notice requires
-
Dispatch pledges and contracts included if you will work at a client site
-
Registry certificate and other Japan-issued papers dated within three months of filing
Your Own Papers
Decide which training route you are claiming, and match it to a paper. Degree route: certificate and transcripts. Ten-year route: employment certificates with employers, duties, and dates. IT route: the designated certificate, or a DOEACC certificate. International-services route: proof of three years' related work, unless you are a graduate in translation, interpretation, or language instruction.
Then check the small items. Spell your name as the passport does. Prepare a 4 cm by 3 cm photo for the agency form. For the visa stage, check the photo rule on the day, since MOFA's form shows one size and the VFS checklist asks for a recent photo. Confirm the passport has more than two blank pages.
Language Evidence
Ask whether the job mainly uses language skills with other people. If yes, attach B2-level proof: a qualifying test score, a Japanese university degree, Japanese compulsory education plus high school, or the residence period the agency lists.
If the job is back-end development in a team that works in English, we would still ask HR to confirm in writing that the rule does not apply.
Dates and Clocks
Write four dates at the top of the file: the employer start date, the planned entry date, the certificate expiry, and the visa expiry once known. The entry date must fall before the start date, with the cushion discussed earlier, and inside the certificate window. Book the VFS appointment the day the certificate arrives.
Check the port of entry on both forms. If you decide to include an airline on the visa form, make sure it reflects a real plan. Write the date you checked each official page next to its name in your worksheet.
Fees and Time
MOFA's fees page, dated June 24, 2026, says visa applications accepted on or after July 1, 2026 cost about ¥15,000 for single entry and ¥30,000 for multiple entry.
Payment is generally in the local currency, and the amount can differ by purpose and nationality. If a visa is not issued, no visa fee is charged. An approved agency can add its own handling fee.
The Embassy of Japan in India's long-term page still shows a fee table effective April 1, 2022, so confirm the current amount with VFS before you go. For time, MOFA gives five working days when nothing is wrong, and the certificate itself can take one to three months.
The Travel Decision
-
Reservation: optional, planning only, and not listed by any page we read for this route
-
Ticket: buy after the visa is issued and the entry date sits inside the certificate window
-
Hand baggage: certificate, contract, employer contact, residence address
-
After landing: municipal notice within 14 days, with Friday planning if the deadline falls on a weekend
If any line fails, fix the source document first. Then update every document that repeats the fact, and sign the changed forms again. A file that agrees with itself is the best evidence you can bring.
Plan Your Japan Arrival Around the Certificate, Not the Ticket
For the Japan Engineer visa, the chain runs from your employer's start date to the Certificate of Eligibility, then to the visa, then to landing. Fix the entry date early, write it in both forms, and keep it inside the certificate's three-month window. The official pages we read do not ask for a flight reservation on this route.
Your next step is a shared worksheet with HR: one text for duties, four dates at the top, and a source beside every field. If you later want dates on paper before ticketing, a flight reservation from BookForVisa.com can sit beside that worksheet as a planning aid.
A temporary itinerary may be marketed as a dummy ticket; understand that document label before submitting anything as if it were an issued, paid airline ticket.
Need a dated flight plan after HR fixes the work timeline? Only when the current mission checklist requests an itinerary or reservation, prepare a genuine document whose passenger, route and planned arrival agree with the employer and COE paperwork. Buy the final fare after the visa decision and document checks.
Prepare a visa flight reservationWhat Do Applicants Usually Ask About the Engineer Visa and Arrival Date?
Can You Apply for the Visa While the Certificate Is Still Pending?
MOFA's FAQ lists a pending certificate application among reasons a visa application may not be accepted. A visa application without a certificate also typically takes one to three months, according to MOFA's processing page. In practice, wait for the certificate, then apply the same week.
Is the Visa the Same Thing as the Status of Residence?
No. MOFA's visa page explains that the visa is one entry requirement, issued abroad. The status of residence is what the officer records at landing. People often say "changing visa" when they mean changing status, which is why the agency and MOFA keep their pages separate.
Can the Certificate Arrive by Email?
Yes. MOFA's FAQ says that since March 17, 2023 a certificate can be received by email. You can present the email when applying for the visa or submit a printed copy. The Delhi VFS checklist accepts the original, a copy, or a printed email version.
Is a Flight Ticket Needed to Apply?
We found no flight ticket or reservation on the agency's status page, MOFA's visa page, the India mission's long-term page, or the Delhi VFS checklist. The visa form does ask for a port of entry and an airline name, so ask the counter how to treat that field.
How Long Will the Stay Be?
The agency lists five years, three years, one year, or three months as possible periods. The officer sets yours at landing. The form's declaration says status and period are decided by Japanese immigration authorities on arrival, so do not rely on a number before you land.
Do You Need to Speak Japanese?
Not by default, and we found no general test of Japanese skills on the pages we read.
The agency's April 2026 notice requires B2-level proof only when the job mainly uses language skills in dealings with other people, such as interpretation or hotel front-desk work. Software and engineering roles worked in English generally fall outside it, though HR should confirm that in writing.
What if the Name Differs Between Documents?
Attach a passport copy when the employer files, and spell the name exactly as the passport does on every form. The agency's page says a mismatch between the certificate and the passport can slow checks along the route. Fix the paper you control, and explain any difference you cannot fix.
Does the Employer Send Papers to the Embassy?
MOFA's visa page says an inviting organization sends the required documents to the applicant, not to the ministry or the mission. The employer files the certificate application, and you handle the visa application. The FAQ lists four ways to apply for a visa, though your mission and center decide which are open to you.
What Happens if the Visa Is Refused?
MOFA's FAQ says the mission does not explain the reason for a refusal. It also says a new application for the same purpose is not accepted for six months, with limited exceptions. No fee is charged if no visa is issued. Talk to your employer before deciding whether to wait or re-file.
What Happens if the Entry Date Moves?
A small move inside the certificate's three-month window is, in our reading, a planning change, not a new application. A move past the expiry means a new certificate. Tell your employer the day the date moves, because the start date and housing depend on it.
Friendly reminder: BookForVisa provides travel-proof documents for planning and visa-application support. Requirements vary by destination, consulate, visa category and applicant situation. A flight reservation can support a file, but it does not guarantee approval, boarding or entry.
