Short answer: Proof of accommodation is not a mandatory document for every Canada visitor visa, but IRCC lists it as part of the recommended "Itinerary" evidence, alongside flight details and event registration, to show how long you will stay and what you will do. Your personalised checklist in the IRCC portal and your local visa office instructions decide what you must upload. A hotel reservation, a host’s letter and address evidence, or a short day-by-day plan can all answer the question. If you add a flight reservation for visa or hotel reservation, keep its dates identical to the dates on your application form.
Canada’s visitor visa (temporary resident visa) has a reputation for being strict about evidence, and applicants often respond by uploading everything they can find. Accommodation is a good example. Some people pay for a full hotel stay months before a decision. Others upload nothing and leave the officer guessing where they will sleep. Neither approach matches what IRCC actually says.
This guide explains where accommodation fits in IRCC’s published document list, how to show it for hotel stays, family visits and mixed trips, how to keep it consistent with the dates on your form, and what to avoid. It covers tourists and family visitors applying from outside Canada. Super visa, study and work applications have their own rules.

Does a Canada Visitor Visa Require Proof of Accommodation?
IRCC separates what every applicant must include from what is recommended. Every applicant must include a digital copy of a valid passport and, for minors, any authorisation letters. Beyond that, the page tells you that the portal will generate a personalised document checklist and that you must provide everything on it.
Accommodation appears in the recommended documents for tourists, under the heading Itinerary. IRCC describes these as documents that show how long you plan to stay and what you will do in Canada, and it gives three examples: flight details, proof of accommodation and registration for an event. You are told to submit these with your visa application.
So proof of accommodation is not a universal legal requirement, but it is part of the evidence IRCC expects to see if you have it. Leaving it out does not automatically sink an application. Leaving it out when your trip has an obvious accommodation story, such as staying with a sibling in Toronto, means the officer has less to work with.
What the officer is really testing: A Canadian visitor visa officer must be satisfied that you will leave at the end of your stay and that you can support yourself. Accommodation evidence helps by making the plan concrete and affordable. It is never a substitute for funds, ties and travel history.
What Counts as Proof of Accommodation for IRCC?
IRCC does not publish a closed list of accepted accommodation documents. In practice, any document that shows where you will stay, for which dates and who pays, fits the purpose. The usual options are:
|
Situation |
What to upload |
What it shows |
|---|---|---|
|
Hotel, motel or B&B |
A reservation in your name with the address and dates |
Intended stay and approximate cost |
|
Staying with family or friends |
The host’s invitation letter, their status in Canada and proof of address |
Who hosts you, where, and their relationship to you |
|
Holiday rental |
The rental confirmation with address and dates |
Intended stay and cost |
|
Event-linked trip |
Event registration plus any accommodation the organiser provides |
Purpose and fixed dates |
|
Mixed trip |
A one-page itinerary listing each night’s location, plus the documents above |
How the pieces fit together |
The invitation-letter route matters for family visits. IRCC’s page says you must include a letter from the person or business inviting you if that applies, and you must show proof of your relationship with the person inviting you, such as a birth or marriage certificate.
How Should Hotel Stays Be Shown?
If you plan to stay in hotels, the clearest evidence is a reservation that matches the dates on your application form. You do not have to prepay a hotel to submit a visa application. A booking with free changes, a pay-at-property reservation or a temporary reservation all document the plan without locking in money before a decision that can take weeks.
-
Use the same city and dates that appear in the "Details of visit" section of your form.
-
Make sure the guest name matches your passport.
-
If you visit several cities, give each stay its own record or list them in a one-page itinerary.
-
Keep the nightly cost realistic for your bank statements.
A BookForVisa hotel reservation for visa costs $15 per person, uses the property and dates you choose, and allows free date changes within the same day of booking. It documents an intended stay; it is not a paid booking, and you should not describe it as one in your letter.
For the flight side, our page on how a flight reservation helps a Canada tourist visa explains how the reservation and your form dates support each other.
What Should a Host’s Accommodation Evidence Include?
Family visits are the most common reason Canadian visitor visas are requested from many countries, and host evidence carries more weight than any hotel booking. A complete host package usually contains:
-
An invitation letter addressed to you, giving the host’s full name, address, phone number and status in Canada, the purpose and dates of your visit and who will pay for what.
-
Proof of the host’s status, such as a Canadian passport, citizenship certificate or permanent resident card.
-
Proof that the host lives at the address, such as a lease, property tax bill or utility bill.
-
Proof of your relationship, such as birth or marriage certificates, as IRCC asks.
-
If the host pays for part of the trip, evidence that they can afford it.
A host who will also pay for your flights or daily costs should say so in the letter. Officers compare the letter with your own funds, so an explicit statement of who covers which costs helps.
How Do Accommodation Dates Match the Application Form?
The paper guide and the online form both ask for the dates you plan to stay in Canada and the funds you have available. Officers read accommodation evidence against those fields.
|
Form field |
Accommodation evidence must |
If it does not |
|---|---|---|
|
Dates of stay (from - to) |
Cover the same nights |
Explain the gap in a short letter |
|
Funds available (CAD) |
Be affordable from those funds |
Show sponsor support or reduce the plan |
|
Person or institution you will visit |
Use the same name and address |
Correct the form or the letter |
|
Purpose of visit |
Fit the purpose (tourism, family, event) |
Re-check which purpose you selected |
Inconsistencies are one of the most common avoidable problems. Our guide on why inconsistent travel dates cause visa rejections lists the mismatches we see most often.
What Do Two Example Canada Files Look Like?
A tourist visiting three cities
Ana, an engineer in Manila, plans two weeks across Vancouver, Banff and Calgary. Her form gives the exact dates and CAD 5,000 available. Her itinerary upload contains a one-page plan, a flight reservation matching the dates and three hotel reservations, one per city, each inside her travel window. Her bank statements and employer letter complete the file. Everything in the itinerary can be checked against the form in under a minute.
Parents visiting a son in Ontario
A retired couple in Lagos plan six weeks with their son, a permanent resident in Mississauga. Their itinerary upload is the son’s invitation letter, a copy of his PR card, his lease and their birth certificate linking him to them. They attach a flight reservation for the planned dates. They do not attach a hotel booking, because they are not staying in one. Their own pension and savings statements show they can cover their expenses.
Note what neither file contains: paid, non-changeable bookings made before a decision, or documents for nights outside the stated dates.
What Do Applicants Get Wrong About Canadian Accommodation Proof?
-
Uploading paid hotel bookings for the whole trip and then losing money after a refusal or delay.
-
Hotel dates that start before or end after the dates on the form.
-
A host letter without proof of the host’s status or address.
-
Listing a host on the form but uploading only hotel bookings, or the reverse.
-
Ignoring the visa office’s country-specific instructions, which can add documents.
-
Uploading several alternative bookings "just in case", which makes the plan look uncertain.
A clean file usually has one accommodation story, told once, and repeated consistently in the form, the letter and the attachments.
Why Does IRCC Link Accommodation to the Money You Need?
IRCC’s eligibility page lists the basic requirements for a visitor visa: a valid travel document, good health, no criminal or immigration-related convictions, ties such as a job, home, financial assets or family that will take you back, convincing an officer you will leave at the end of your visit, and enough money for your stay. It then adds a sentence that matters for this guide: the amount of money you will need depends on how long you will stay and if you will stay in a hotel, or with friends or relatives.
That sentence is why accommodation proof and bank statements should be read together. A file that shows a hotel for three weeks but bank statements that could barely cover one week creates a gap. A file that shows a family host and modest savings can be perfectly coherent, as long as the host letter explains that accommodation is provided.
|
Where you stay |
What the officer will expect your funds to cover |
Documents that close the loop |
|---|---|---|
|
Hotels for the whole trip |
Accommodation, food, local travel and the return journey |
Hotel records, bank statements with balances |
|
With relatives or friends |
Food, local travel, gifts and the return journey |
Invitation letter, host status document, your statements |
|
Mixed: host plus hotels |
Hotel nights plus daily costs |
Host letter for some nights, hotel records for the rest |
|
Event or conference with arranged lodging |
Whatever the organiser does not pay for |
Event registration and the organiser’s letter |
Worked logic: Count the nights you will pay for, multiply by a realistic rate for the cities you list, add daily costs and the return fare, and check that the result sits comfortably within the balances in your statements.
What Should a Canadian Host’s Invitation Letter Contain?
IRCC’s letter-of-invitation page lists what the person in Canada should include about you: your complete name, date of birth, address and telephone number, your relationship, the purpose of the trip, how long you plan to stay, where you will stay and how you will pay for things, and when you plan to leave Canada.
About themselves, the host should give their complete name, date of birth, address and telephone number in Canada, job title, whether they are a Canadian citizen or permanent resident with a copy of a document proving that status, and details of their family such as the names and dates of birth of their spouse and dependants.
-
IRCC says a letter of invitation does not guarantee a visa; the officer still assesses you against the law.
-
Writing the letter does not make the host legally responsible for you, but it must be truthful and written in good faith.
-
The host sends the letter to you, and you include it in your application.
-
The “where the person will stay” line is your accommodation proof for those nights; a separate hotel booking is not needed for them.
IRCC’s tourist instructions also say you must show proof of your relationship with the person or family member inviting you, for example a birth certificate, a marriage certificate or a Statutory Declaration of Common-Law Union (IMM 5409). Put the letter and the relationship proof next to each other in the upload so the officer reads them together.
How Do Bank Statements Support the Accommodation Plan?
IRCC lists a bank account statement among recommended documents and explains what it should show: the bank name and contact so IRCC can ask questions, your name and address to show the account is yours, and at least 6 months of account details including balances to help understand your financial situation.
|
IRCC detail |
Why it matters for accommodation |
Common problem |
|---|---|---|
|
Bank name and contact |
Lets the officer verify the account if needed |
Statements printed without the bank’s details |
|
Your name and address |
Shows the money is yours, not a host’s |
Statements in a relative’s name with no explanation |
|
At least 6 months of details, with balances |
Shows a pattern that can pay for the stay you list |
A large deposit just before applying |
If a host in Canada is paying for part of your trip, add their evidence of funds and say in their letter which costs they cover. If you are paying for hotels yourself, your own statements need to show that the nights you list are affordable.
What Changes When Your Local Visa Office Adds Requirements?
IRCC tells applicants that their visa office may require additional documents and asks you to say where you are applying from to see the visa office requirements for your country or territory. When you apply online you also get a personalised document checklist in the portal, and you must provide all the documents listed on it.
-
Start the online application and save the personalised checklist it generates.
-
Open the visa office instructions for the country or territory you are applying from.
-
Add any accommodation, itinerary or funds document those instructions name.
-
Upload extra documents to “Additional documents” in the IRCC Portal, or to the “Letter of Explanation” field on the “Optional documents” page in the new portal.
-
Combine multiple files into one document where the portal allows only one upload per field.
The itinerary item that IRCC recommends includes flight details, proof of accommodation and registration for an event. If your visa office asks for something more specific, follow the visa office.
How Do Fees, Passport Validity and Visa Length Fit Your Dates?
IRCC lists the visitor visa processing fee at CA$100 per person (CA$500 for a family of 5 or more) and the biometrics fee at CA$85 per person (up to CA$170 for a family). It says your passport should be valid for at least 6 months from the date you plan to travel, and that a visitor visa can be issued for up to 10 years or until your passport or biometrics expire, whichever comes first, though an officer may set a different expiry date.
|

A BookForVisa hotel reservation for visa costs $15 per person and is issued for the hotel and dates you choose, with free date changes within the same day of booking. It answers the “where will you stay” line for nights you will pay for yourself; it does not replace funds, ties or a host’s letter.
How Does Accommodation Work for Business Visitors to Canada?
IRCC says that to visit Canada on business you must qualify as a business visitor by showing that you plan to stay for less than 6 months, that you do not plan to enter the Canadian labour market, and that your main place of business and source of income and profits is outside Canada. Business visitor activities include business meetings, special events or training for a few days or weeks.
For a business trip, accommodation proof usually comes from one of two places: a hotel you book near the meeting or event, or lodging arranged by the Canadian company or organiser. If your meeting, event or conference is registered with IRCC, include the event code in your application; you get it from the organiser.
|

IRCC’s employer letter guidance applies here too: printed on letterhead, dated no earlier than 3 months before you apply, confirming your job, start date, salary and a manager’s contact details. The employer letter, the invitation and the hotel dates should all describe the same trip.
What Do Three Short Canada Scenarios Look Like?
A retired couple visiting a daughter in Toronto for five weeks
Their daughter, a permanent resident, writes an invitation letter covering the points IRCC lists, attaches a copy of her PR card and confirms the couple will stay with her. The couple add a birth certificate showing the relationship, six months of their own bank statements and a short itinerary. No hotel record is needed for the five weeks at her home.
A solo traveller touring Vancouver and the Rockies for twelve nights
The traveller lists four nights in Vancouver, five in Banff and three in Jasper, with a hotel record for each stretch, a flight plan and statements showing the trip is affordable. The cost line in the form allows for all twelve paid nights.
An engineer attending a registered conference in Montréal
The engineer adds the event registration with its code, a hotel near the venue for the conference dates plus one night either side, an employer letter and the conference invitation. Accommodation, purpose and dates line up in one view.

Show One Clear Place to Stay for Each Night
For a Canada visitor visa, accommodation proof is part of the itinerary evidence that IRCC recommends, not a stand-alone requirement. Choose the form that fits your trip: a hotel reservation for hotel stays, full host evidence for family visits, or a short itinerary for mixed plans. Then make sure every date and address matches the application form. That consistency is what makes the evidence useful.
See also our guide to flight reservation formats for a Canada visa from India.
Fix your travel dates on the form first. Then issue accommodation evidence that covers exactly those nights, whether it is a host letter or a hotel reservation that does not commit you to a paid stay before the decision.
Review hotel-reservation optionsFrequently Asked Questions
Is proof of accommodation mandatory for a Canada visitor visa?
It is not a universal mandatory document. IRCC lists it among recommended itinerary documents, and your personalised portal checklist or visa office may ask for it.
Can I use a hotel reservation instead of a paid booking?
IRCC does not say a booking must be paid. A reservation that shows your name, the property and dates matching your form can document an intended stay.
What do I upload if I stay with family in Canada?
Upload your host’s invitation letter, proof of their status in Canada, proof of their address and proof of your relationship, as IRCC asks for family visits.
Where do I upload accommodation documents?
Upload them under the itinerary or purpose-of-travel item in your portal checklist. Extra documents can go in the additional or optional documents field.
Do my hotel dates have to match my form exactly?
They should cover the nights between your stated arrival and departure dates. If they differ, explain why in a short letter.
Should I book hotels for every city I visit?
Not necessarily. A one-page itinerary listing each night’s location, with reservations for the main stays, is usually clearer than many separate bookings.
Does proof of accommodation guarantee approval?
No. Officers weigh your whole file, especially funds, ties and travel history. Accommodation evidence makes the plan clearer but does not decide the outcome on its own.
Can a visa office ask for more accommodation evidence?
Yes. IRCC says local visa offices may require additional documents for applicants in their country or territory. Check their instructions before you submit.
What should a Canadian invitation letter include about where I stay?
IRCC says it should state where you will stay and how you will pay for things, together with your trip purpose, length of stay and planned departure.
How much are Canadian visitor visa fees?
IRCC lists CA$100 per person for processing (CA$500 for a family of 5 or more) and CA$85 per person for biometrics (up to CA$170 for a family).
Does staying with relatives reduce the money I need for Canada?
IRCC says the money you need depends on how long you stay and whether you stay in a hotel or with friends or relatives, so a host can change what your funds must cover.
Friendly reminder: BookForVisa provides travel-proof documents for planning and visa-application support. Requirements vary by destination, consulate, visa category and applicant situation. A flight reservation can support a file, but it does not guarantee approval, boarding or entry.
