Short answer: For a German business visa, make the host invitation describe the real meetings and business relationship, then compare it with your employer’s covering letter and the flight reservation for visa. Meeting dates must fit inside the stay; overnight flights can put India departure and Schengen arrival on different dates. If a document is wrong, ask its issuer to correct it instead of editing the PDF yourself.
This is an invitation-date reconciliation worksheet, not a general business-visa guide. It retains the source’s mission comparison, eight-field worksheet and fictional Mumbai–Stuttgart repair example while keeping its purpose distinct from our broader guide to German business-flight evidence.
Key facts
- India’s business checklist asks the German partner to describe activities and the business relationship.
- The Indian employer’s signed covering letter states purpose, duration and a brief itinerary.
- A detailed business-meeting schedule is separately requested for stays over 30 days in the India checklist reviewed.
- Travel days in India can differ from the first and last days inside Schengen.
- A matched date set improves clarity but does not guarantee visa approval.

Official-source check: The German Missions in India business checklist specifies the invitation, employer letter, flight reservation and other file documents. Its Schengen visa FAQ explains that changed travel plans may require revised itinerary, invitation and insurance documents. Check the responsible mission’s live page before filing.

What Does a German Business Invitation Letter Have to Say About Dates?
The current German Missions in India business checklist asks the German partner’s invitation to describe planned activities and the business relationship. Its invitation row does not prescribe a universal arrival/departure format. The applicant’s own covering letter must state purpose, duration and a brief itinerary.
The dates sit instead in your own company's covering letter. The same India page says an original signed covering letter on company letterhead must state your name, passport number, purpose of trip, duration of stay, and a brief itinerary. The host's letter is then read against it.
The German Missions in Saudi Arabia ask more of the host. Their Business Visa checklist wants the purpose, the exact dates, and the duration of the trip. It also makes the meeting location mandatory when that differs from the inviting company's address, and it names a trade fair ticket as supporting evidence where relevant.
An older German mission checklist from Canada has its own invitation recency and contact requirements. Do not apply its four-week rule to an India file; use the checklist of the mission handling your application.
The German Embassy in Accra wants a signed letter from the inviting company or trade fair provider, plus a copy of the German company's commercial register entry.
Where the meetings sit inside a conference or trade fair, the invitation changes shape. Accra asks exhibitors for the participation registration and proof of payment, and visitors for a trade fair ticket.
In a German conference visa file for an international conference, the event dates come from the conference invitation, though the host's letter should still say whom you will meet and when.
Two practical points follow. You cannot borrow another mission's expectations, so use the checklist of the mission that handles your place of residence and visa category. And even if your page is silent on dates, the covering letter and the flight reservation are not, so the host's letter will be compared with both.
Our advice is to ask the host for a business invitation letter on official letterhead that states the exact dates of the meetings and the arrival and departure days you plan. A letter that stays silent makes the reader infer how the activities fit your flights. That is our judgment, not a published rule.
Accra describes this category as a short stay of up to 90 days, and the Saudi Arabia checklist adds that the round-trip reservation should show a stay within that limit. Most business trips are far shorter.
An unclear invitation can generate questions about the purpose and timing of a trip. No official source reviewed establishes a specific refusal or processing penalty for a date mismatch alone. Treat consistency as a way to make the file understandable, not as an approval formula.
So what counts as a match? Each document, written in local dates, must describe the same trip: the same meetings, the same days in Germany, and travel days that fit around them. Later sections turn that test into a worksheet.
Students applying for a German national visa follow different date logic, covered in our Germany student visa checklist for flight proof and entry planning.
Which Fields Across the Company Letters and the Flight Reservation Must Agree?
These are the fields that carry dates, or the identity behind them, in a business file lodged through the German Missions in India:
-
Covering letter: name, passport number, purpose of trip, duration of stay, and itinerary in brief.
-
Host invitation: the activities planned and the business relationship, plus dates or a schedule where your mission asks for them.
-
Flight reservation: a round trip, with passenger details and the complete itinerary on the Saudi Arabia page.
-
Application form: the intended date of arrival and the intended date of departure from the Schengen area. India asks you to fill it in online through VIDEX and print every page, barcodes included.
-
Travel insurance: valid for all Schengen states, covering the entire trip, with a minimum coverage of EUR 30,000.
-
Accommodation: hotel reservations with booking dates, or the host's written confirmation that it arranges the stay.
-
Company registration documents: certificate of incorporation, GST registration, and proof of company registration. These carry no travel dates, but the company name must match the letters.
-
Language: German or English, with a translation for anything else.
Host, employer, hotel and insurer maintain separate records. Compare the documents before submission because one changed meeting or flight can leave a stale date elsewhere.
The documents should describe a coherent travel window, but their dates need not be numerically identical. A departure from India may be the day before Schengen arrival, and a return to India may be the day after Schengen exit. Explain those differences explicitly.
Separate three kinds of dates before comparing anything. Meeting dates are German local dates fixed by the host. Stay dates are the first and last day you are physically in Germany. Travel dates are the days you leave India and return, and on a night flight they sit a day away from the stay dates.
The harmonised Schengen application form describes its two date fields as the intended date of arrival of the first intended stay and the intended date of departure after it. Those are stay dates.
An easy slip is typing the day the flight leaves Mumbai into the arrival field when the aircraft lands the next morning. Check the labels on screen in VIDEX, because we compared the paper form's wording.
The India business checklist reviewed calls for a detailed schedule of business meetings only for stays over 30 days. Shorter visits still need enough purpose and route detail in the invitation and covering letter to explain the trip.
The current India checklist says that if the inviting company arranges accommodation, it should confirm this in the invitation; the applicable accommodation-proof line then depends on the mission’s checklist wording. Do not assume every applicant can omit a separate hotel document.
If it does, the host's letter becomes your accommodation evidence, and its nights must cover your first and last night in Germany.
Travel medical insurance should cover the period and territory required by the handling mission. Compare the certificate against the actual arrival and exit dates rather than starting it only on the first meeting day.
How Do You Fill In the Host, Employer, and Flight Date Worksheet?
Work from the top, host first. The host's letter fixes the meetings, so every other row depends on it. Write months in words and use local dates, meaning German dates for the meetings and the dates on the ground at each airport for the flights.

Once the table is filled, run three tests. The containment test asks whether the first and last meeting dates fall inside your days in Germany. The count test asks whether every document implies the same number of days in Germany. The margin test asks how far the stay extends beyond the meetings.
There is no official one-day-before or one-day-after rule. As a planning example, arriving a day before a critical meeting and returning after it finishes can make the timetable more plausible. Explain any longer stay with the real business or travel reason.
If the host cannot confirm meeting dates, ask when it can issue a final invitation. Avoid pairing a vague meeting window with a precise reservation unless the mission accepts that stage of planning.
Germany is behind India by 3 hours 30 minutes during German summer time and 4 hours 30 minutes during German winter time. Read flight schedules in each airport’s local time and confirm daylight-saving dates rather than applying one offset to the whole year.
Meeting hours are set by the host, not by a universal German business-day template. Ask for the actual first and last meeting times; avoid inventing a standard window.
Ask your German counterparts to confirm the exact start and end of the first and last meetings. A reservation that lands at 05:00 on the morning of a 09:00 meeting passes the date test and still fails the plausibility test.
A host invitation normally needs dates, purpose and location more than flight numbers. Whether to include a specific flight number is a practical choice, not a published rule; if the flight changes, ask whether the host letter still accurately describes the trip.
When all eight rows agree, the file tells the same story from the first page to the last, and a reader can check any single date against two others.
What Does a Mismatch Look Like in a Mumbai-to-Stuttgart File?
Take a fictional applicant, Daniel Whitfield, export manager at Whitfield Gears Pvt Ltd in Mumbai. His German host, Brandt Antriebstechnik GmbH in Stuttgart, has invited him to an acceptance test on Wednesday 10 March 2027 and a contract meeting on Thursday 11 March. Every name and date here is invented for illustration.
Daniel's file is assembled in a hurry. Brandt's letter, written first, gives the visit as 10 to 11 March and says the company will arrange accommodation. His employer's covering letter, written a week later, runs from 8 March to 13 March and states a stay of six days. The reservation was built from the covering letter.
It is a direct routing into Frankfurt, a major business hub, and Daniel plans to take a Deutsche Bahn train to Stuttgart on 9 March.
The reservation leaves Mumbai at 23:55 on 8 March and lands in Frankfurt at 05:00 on 9 March. The return leaves Frankfurt at 14:10 on 12 March and lands in Mumbai at 03:00 on 13 March. Nothing is wrong with the flights. The trouble is how the other documents describe them.

Leaves India 8 March by night flight; in Germany 9 to 12 March (four days); back in Mumbai 13 March. |

Reading the draft column, four mismatches appear. The host describes two days while the covering letter describes six. The covering letter counts travel days as days of stay. The form uses the day the flight departs as the arrival date. And the insurance begins a day after Daniel lands.
Which document should change? Daniel's flights already follow a sensible pattern: he lands the day before the first meeting and flies home the afternoon after the last one. So the letters, the form, and the policy move, and the reservation stays. That is our judgment, and a different flight pattern would call for a different fix.
The corrections run in a fixed order. First, Daniel asks Brandt to reissue the invitation on letterhead with the meeting dates, his arrival on 9 March, his departure on 12 March, and the three nights of accommodation. Second, Whitfield Gears reissues the covering letter. Third, the form and the insurance follow.
Why four days? Count inclusively: 9, 10, 11, and 12 March. The corrected covering letter says Daniel is in Germany for four days and travels on 8 and 13 March. Putting both counts on the page shows why six and four describe the same trip.
If the host cannot reissue its letter, the applicant’s covering letter can explain the arrival and departure travel days, but it does not silently amend the host’s invitation. Ask the handling mission or host what correction is required if the two documents conflict.
Now change one fact. Suppose Daniel had booked the night flight a day later, leaving on 9 March and landing at 05:00 on 10 March, with Brandt's acceptance test starting at 09:30 that morning.
The letters, form, and reservation can all agree on dates, and the plan still has no margin. Here the reservation should move a day earlier, and the letters follow.
Which Questions Should You Put to the Host and the Mission Before You Submit?
Keep the correction list short and bounded. It has three groups: what you ask the host to change, what you change yourself, and what you ask the mission or its authorised visa centre.
Ask the German Host
-
Reissue the letter on official letterhead with the first and last meeting dates, the venue address if it is not the company's own, and your planned arrival and departure days.
-
Ask for a hotel booking confirmation close to the meeting venue or near a major station, if you arrange the stay yourself.
-
Name the accommodation nights if the host is arranging them. On the India page, that confirmation can replace the separate hotel proof, at least in the consultancy row.
-
Confirm exact start and end times for the first and last meetings, so your flight times can be checked against them.
-
Check the letter's issue date against any age limit on your mission's page. The Canada checklist says four weeks.
-
If the host pays any costs, ask which wording the mission wants. Accra requires a formal obligation under sections 66 to 68 of the Residence Act, not older than six months at entry, and the Saudi Arabia checklist mentions cost coverage under the same sections where relevant.
Watch geography too. If the letter places the meetings at a Düsseldorf trade fair while the reservation lands in Frankfurt and the hotel sits in Stuttgart, every date can agree, and the route still raises a question. Either the letter names the extra leg, or the plan changes.
Fix Your Side of the File
Correct the duration of stay in the covering letter so it counts days in Germany, and list the travel days separately. Re-enter the dates on the application form, then reprint every page with its barcodes. Align the insurance start and end with the covering letter.
Change the reservation only when the flight pattern leaves no margin around the meetings. If a PDF needs a new date, ask whoever issued it to reissue it, because a hand-edited file creates a second problem on top of the first.
A representative-submission rule is mission-specific. Check whether your handling mission permits a representative and which authorization documents it requires; do not assume the India checklist applies elsewhere.
Ask the Mission or Visa Centre
Visa centres may explain procedure but generally cannot pre-approve an individual file. Ask a precise question about checklist wording, not for a prediction of the decision.
-
Which checklist applies to my place of residence and visa category? The India pages, for example, publish a separate list for exhibitors and visitors of German trade fairs.
-
Must the host's invitation carry exact dates, or can the covering letter hold them?
-
Are German and English both accepted, and which documents need a translation?
-
Must the reservation show the return to my home country? The Canada checklist asks for a reservation to Germany and back to Canada or the final destination.
Confirm whether your nationality and residence require a Schengen business visa, then read the responsible German mission’s live checklist and appointment guidance. Apply with adequate time for corrections; do not treat a three-week margin as a universal deadline.
Take the answers to your visa appointment as a printed note with the page title and the date you read it. Pages change, and a dated note shows which version you followed.
Where Does Date Matching Stop Helping?
A matched file is easier to read, but it is not a stronger case on its own. The Canada checklist says that submitting the listed documents does not guarantee a visa, and the India page says a booked flight ticket brings no preferred processing. Dates repair avoidable confusion. They do not replace the rest of the supporting documents.
The India checklist has separate financial, employment and company-evidence requirements. No daily euro amount found in the official sources reviewed should be presented as a universal German business-visa threshold.
None of that is fixed by agreeing dates, and it sits outside this guide.
None of the pages we read publish a list of refusal reasons. Accra says incomplete applications will be rejected, and the Canada checklist warns that incomplete documentation may lead to rejection. A date mismatch is not the same as a missing document, so read our concern about mismatches as risk reduction, not as a rule.
The reservation deserves its own limit. Accra asks for a round-trip flight reservation and says no ticket is required, and the India checklist lists a flight reservation. That wording points to a reservation, not an issued ticket.
Do not purchase a non-refundable fare solely to manufacture matching dates. Follow the handling mission’s wording on reservations and check cancellation terms before paying.
A genuine, currently valid flight reservation can show the proposed arrival and departure dates. BookForVisa may provide one where the mission asks for it, but check the current product terms, issuer status and verification method. A PDF or PNR by itself does not establish ticketing or visa acceptance.
Check the status of any reservation before you lodge. Our flight reservation document consistency checklist explains what to look for, so it is not repeated here.
Short Answers to Common Questions
Should the invitation letter quote my flight numbers?
No checklist we read asks for them. Flight numbers tie the host's letter to a booking that may change. Arrival and departure dates are enough, and they stay true if the airline or the departure time moves.
Do travel days count as days of stay?
The pages do not say. We count days in Germany as the stay and list the days spent travelling separately, so both numbers appear and neither contradicts the other.
If the host only needs you for one day, can you arrive early?
Yes, if the letters say so. State the arrival and departure days in the host's letter or, failing that, in the covering letter. An unexplained extra day is the part a reader has to account for on your behalf.
What if the reservation changes after the letters are issued?
Re-run the worksheet. If the new dates sit inside the same margin, the host's letter may still hold, and only the covering letter needs a new line. If they break the margin, ask the host to reissue.
Which source wins if two pages disagree?
The page of the mission that handles your application wins. We cite several missions to show how wording varies, not to mix their rules. Where the pages differ, the answer is a question for your own mission.

Settle the Dates Once, Then Let Every Document Repeat Them
For an India business-visa file, compare the German partner’s invitation, the employer’s signed covering letter, the flight reservation and the application form as separate records. Fix the meeting dates with the host first; then align the stated arrival, departure and accommodation dates without pretending that India departure and Germany arrival must be the same day.
Date matching cannot replace purpose, finance, accommodation or insurance evidence. Use the worksheet before your appointment and ask each document owner to correct its own record. A conference or trade-fair case may require a different invitation and event evidence, so use its specific checklist.
Practical decision workflow
- Identify the German mission handling your application and read its current business checklist.
- Ask the host to confirm meeting purpose, relationship, location and dates in a signed invitation.
- Enter meeting dates, Schengen arrival and exit, India departure and return, lodging nights and insurance coverage in one worksheet.
- Have the employer’s covering letter explain the stay and travel days separately.
- Obtain a genuine reservation only after dates are settled, where the mission requests one.
- Review the printed form and each document against the worksheet; have the issuing party correct any mismatch.
Frequently Asked Questions
Must the host invitation list my flight numbers?
The India checklist reviewed does not expressly require flight numbers in the invitation. It does require planned activities and the business relationship; keep dates and route coherent.
Do India departure and Germany arrival need the same date?
No. A night flight can leave India on one calendar day and enter Schengen the next. Explain each local date accurately.
Is a detailed meeting schedule always required?
The India checklist reviewed separately requests a detailed business-meeting schedule for stays over 30 days. Your own handling mission may differ.
Does a consistent invitation guarantee approval?
No. It addresses one avoidable inconsistency; the authority assesses the full application and decides.
Friendly reminder: BookForVisa provides travel-proof documents for planning and visa-application support. Requirements vary by destination, consulate, visa category and applicant situation. A flight reservation can support a file, but it does not guarantee approval, boarding or entry.
